The Hospitality & Catering Coordinator serves to manage large-scale catering and hospitality initiatives across the organization. This role is responsible for leading the ideation, planning, coordination, and execution of hospitality experiences for employee events, internal meetings, leadership gatherings, film productions, and multi-day, off-site events. This position owns hospitality projects from concept through completion, proactively identifying needs, managing complex logistics, coordinating vendors, and leading on-site execution to deliver thoughtful, high-quality, and cost-effective experiences. This role works cross-functionally with internal teams and external partners and requires a high degree of operational excellence. Essential Duties and Responsibilities:Own end-to-end planning and execution of large-scale catering and hospitality operations for organizational events, leadership gatherings, film productions, and multi-day, off-site experiences, supporting audiences of 2,000+ people and managing budgets up to $100,000. Lead hospitality strategy, creative ideation, and execution to deliver thoughtful, high-quality, and cost-effective experiences for diverse audiences. Proactively identify upcoming hospitality needs and take initiative to plan, coordinate, and execute solutions without requiring direct oversight. Plan and coordinate complex hospitality logistics including vendor sourcing, menu planning, dietary accommodations, equipment coordination, and multi-location scheduling. Lead on-site hospitality operations during events and productions, ensuring seamless execution, real-time problem solving, and consistent guest experience. Develop and maintain strong vendor and partner relationships to support quality and reliability across all hospitality initiatives. Manage administrative and operational requirements including compliance with food safety standards, budget tracking, documentation, and process consistency. Provide administrative and operational support for the Brand team, including submitting purchase orders, processing expenses, managing invoices, and supporting general project management workflows. You will be at a desk most of the day, typically with the option to sit or stand. You may have to lift/exert up to 10 lbs. of force on occasion.
