OMHC Lead Administrative Assistant
OMHC Lead Administrative Assistant Synergy Family Services, Inc. is seeking a highly organized and detail-oriented OMHC Lead Administrative Assistant to oversee daily administrative operations within our Outpatient Mental Health Center (OMHC). This full-time, in-person role is responsible for supervising administrative staff, ensuring efficient office workflows, and maintaining compliance with organizational and regulatory standards.Position Details: Job Title: OMHC Lead Administrative Assistant Employment Type: Full-Time Schedule: Monday Friday Work Location: In-PersonKey Responsibilities:Oversee all Administrative Assistants, including delegation and completion of tasksMonitor office supply levels and coordinate needs with the Office ManagerEnsure administrative staff consistently reflect the agency's mission, vision, and valuesParticipate in interviewing and training new administrative staffOversee and ensure efficiency of the client referral processEnsure completion of monthly insurance eligibility verificationsEnsure all referrals are accurately entered into the electronic database systemOversee timely completion of doctor billing processesEnsure efficient processing of OMHC and PRP initial authorizationsEnsure referral information is properly documented in intake filesOversee client medical records requests and ensure timely processingMonitor and ensure completion of client dischargesEnsure timely mailing of ITPs, IRPs, and therapy status lettersEnsure prompt and professional response to emailsReview and approve timesheets and invoicesCollaborate with Leadership Team members as neededOversee and manage physician schedulingEnsure compliance with HIPAA and confidentiality regulationsTrack and complete Key Performance Indicators (KPIs)Qualifications:Bilingual-(Fluent in Spanish)High school diploma or equivalent required; Associate's or Bachelor's degree preferredPrevious experience in administrative or office management, preferably in a healthcare or behavioral health settingSupervisory or leadership experience preferredStrong organizational and multitasking skillsExcellent communication and interpersonal skillsProficiency in electronic health records (EHR) systems and Microsoft Office SuiteKnowledge of insurance verification, billing processes, and authorizations preferredUnderstanding of HIPAA compliance and confidentiality standardsUnderstanding of CARFBenefits:Health Insurance, Dental Insurance, Vision Insurance and Medical Benefits401(k) PlanFree Continuing Education (CEU) TrainingPaid Time Off (as applicable per company policy)
