We are seeking a highly organized, systems-oriented Executive Operations Assistant (EOA) to support a Founder operating across investing, advisory, and strategic growth initiatives. This role is ideal for someone who thrives behind the scenes, enjoys building structure, and takes ownership of operational execution in a fast-paced, high-accountability environment.Rather than serving as a traditional calendar-only assistant, this role is designed for a proactive operator who can manage workflows, improve processes, and ensure critical business functions run smoothly and efficiently.This role follows a focused delegation model: in the first month, you will take ownership of 3–5 core operational processes, with responsibilities expanding as trust, autonomy, and performance are demonstrated.You will work closely with the Founder and leadership team through structured onboarding, documented SOPs, recorded process walkthroughs, and weekly performance check-ins.Location: This is a fully remote position.Job Type: Full-TimeSalary: 1,000-1,600 (based on experience)3+ years of experience as an Executive Operations Assistant, Operations Manager, or high-level Executive Assistant with operational responsibilitiesStrong experience managing workflows, SOP documentation, and process optimizationProven ability to own and execute recurring operational tasks with minimal oversightHigh attention to detail and strong follow-throughComfortable handling sensitive information in security-conscious environmentsStrong written and verbal communication skillsAbility to prioritize competing tasks and manage deadlines independentlyHighly organized, structured thinker with systems mindsetProactive problem-solver who anticipates bottlenecks before they ariseStrong emotional intelligence and professional judgmentTechnical Requirements: Reliable high-speed internet, modern laptop with multi-core processor, noise-canceling headsetKey ResponsibilitiesExecutive & Email SupportTriage and summarize high-priority emails while the Founder retains oversightOrganize inboxes using a four-folder system (Action Needed, Follow-Up, If Interested, Read Later)Highlight time-sensitive items, scheduling requests, and critical decisionsDraft emails using a “transfer delegation” model (draft → review → send), progressively increasing autonomyMaintain discretion and judgment in a privacy-conscious environmentCalendar & Meeting ManagementOwn meeting scheduling logistics, confirmations, and coordinationManage meeting windows, buffer times, and protected focus blocksAnticipate scheduling needs using an “ideal week” frameworkHandle logistics such as locations, parking details, and time‑zone coordinationBookkeeping & Financial AdminSupport the Founder and investment team with behind-the-scenes operational execution across private equity and/or hedge fund activitiesCoordinate and maintain internal reporting workflows, including portfolio tracking, capital deployment summaries, and performance monitoringAssist with fund-level financial processes, including expense tracking, reconciliation support, and documentation managementMaintain organized records for investment transactions, deal documentation, and due diligence materialsSupport preparation of internal investment memoranda, financial summaries, and board-level reporting materialsAssist with cash management coordination and capital call tracking (as applicable)Work closely with accounting partners or fund administrators to ensure timely and accurate financial reportingTrack compliance-related documentation and maintain structured audit trailsManage confidential financial data with strict discretion and security protocolsIdentify process gaps within investment operations and implement structured improvementsSupport workflow coordination between legal, accounting, and investment stakeholdersMaintain internal dashboards for portfolio performance, KPI monitoring, and reporting cadenceFollow documented workflows, including client-specific security requirementsMaintain accuracy and consistency to reduce financial admin backlogNice to HaveExperience supporting founders, investors, or operators in high-growth environmentsExposure to finance, investing, private equity, or consulting industriesFamiliarity with tools such as Asana, ClickUp, Notion, Slack, Google Workspace, CRM systemsExperience coordinating remote teamsBackground in business operations, finance, or project managementBenefits & PerksInternational experienceOpportunity to work remotely from anywhereSupportive and collaborative team environmentLearning and development opportunitiesPotential Performance BonusesPTOHMO after 3 months #J-18808-Ljbffr
