Office Manager

College Connect is looking for a talented Office Manager to take charge of our office key responsibilities. This role provides critical support to our executive leadership team and program staff, ensuring smooth day-to-day operations and efficient workflow management.
Role Overview:
The Office Manager will be responsible for overseeing a wide range of administrative and office functions. You will anticipate needs, handle multiple priorities, and manage the day-to-day workflow. Key duties include scheduling, preparing materials for meetings, handling special projects, and ensuring the smooth functioning of administrative operations. You will work closely with the director of program to fulfill company needs.
Key Responsibilities:
Administrative Support: Provide administrative assistance to the executive leadership team and program staff, managing workflow and meeting deadlines.
Policy Implementation: Assist with the review and implementation of company policies and procedures to enhance office efficiency.
Event & Website Management: Organize events and ensure timely updates to the company website.
HR Support: Participate in employee evaluations, disciplinary actions, and onboarding processes, including new hire orientation and paperwork.
Budget & Financial Oversight: Track and maintain budget records, process purchase requisitions, check requests, and expense reports.
Billing & Payroll: Monitor student billing notes and staff timecards to ensure accurate payroll processing.
Student Progress Monitoring: Upload new student data and track ongoing progress to ensure that records are current.
Meeting Minutes: Attend and document meeting minutes, maintaining accuracy in records and communications.
Professional and Ethical Standards:
Confidentiality: Uphold strict confidentiality in compliance with agency policy and legal guidelines.
Dependability: Be reliable, honest, and professional in all dealings with staff, students, and parents.
Collaboration: Work effectively as part of a team, contributing to a positive work environment and ethical work culture.
Professional Boundaries: Maintain appropriate boundaries and handle sensitive information responsibly.
Qualifications:
Five year minimum experience in managerial experience.
Proficiency in Microsoft Word and office tools, with excellent word processing skills.
Strong communication skills – oral, written, and group communication, with attention to detail in proofreading and editing materials.
Leadership skills
Plan and execute office events
Supervise administrative staff and allocate tasks accordingly
Knowledge of ADP and Human Resource experience is preferred.
Highly organized and self-motivated, able to manage multiple tasks simultaneously and meet deadlines under pressure.
Problem-solving skills and the ability to exercise independent judgment and discretion.
Friendly and approachable, with the ability to engage with students, parents, and staff effectively.
Team-oriented with a positive and proactive work ethic, ready to assist in various tasks to support office functions.
Requirements:
- Proven experience in office management or a similar role
- Proficiency in phone systems and clerical tasks
- Excellent phone etiquette and communication skills
- Strong organizational and multitasking abilities
- Knowledge of training development practices is a plus
- Experience in medical office management is advantageous
- Ability to supervise and lead a team effectively
- Proficient in event planning and coordination
