JOB SUMMARY This position reports to the Vice President and provides support to the sales team. The Sales Administrative Assistant responsibilities include supporting all tasks related to pre-sales, post-sales, marketing services, and administrative duties. Responsible for maintaining CRM database and also ensures that sales representatives in the field are in contact with main office and being supported as needed. In this job, it is important to interact with prospective customers and with existing ones if it is the chance to sell additional products and services to customers. Collaborates and coordinates between the sales and the service departments. Accomplishes department and organization mission by completing related results as needed. ESSENTIAL FUNCTIONS (includes but not limited to the following): Sales Support and Administration Maintains CRM databases by inputting customer profiles and updates, and generates sales reports for sales meetings Maintains current list of projects and bids; Accurately tracks project information, bid-date, sales price, percent close, customer, project name, etc. Provides product, promotion, and pricing information by clarifying customer requests, selecting appropriate information to forward; answering questions as needed for follow-up Assists in the preparation of pre-sales and post-sales procedures such as sales paperwork, sales and service estimates/quotes, delivery/installation and coordination requirements, return merchandise authorizations, analysis and preparation of pertinent reports, as well as other special projects as assigned Helps in coordination of all requirements and issues that may occur during the delivery and installation of equipment Builds and maintains a good relationship with all customers by following-up during and after delivery of service to ensure that their needs have been met within standard response time Assists in following up customer issues and concerns with internal service department or appropriate department; escalates the unresolved problems and issues to management Helps manage the flow of information throughout the Sales department and office of the President Attends sales meetings and distribute meeting minutes and distribution follow-up Maintains showroom/brochures, forms, etc. Maintains a professional presentation in appearance and in written and verbal communication Updates job knowledge by participating in educational opportunities as needed Other Administrative Duties Answers the telephone in a professional and courteous manner Organizes, records, and maintains files regularly Composes and types letters as directed Performs other administrative duties and projects as needed JOB QUALIFICATIONS Minimum Education: Bachelor’s degree Preferred Education: Business or equivalent education Experience: 2+ years of experience as Sales Administrative Assistant, Customer Service, pre-sales and post-sales support gained from a business-to-business environment Ability to demonstrate reporting skills, attention to details, organized and follow through Ability to perform customer relations and basic understanding of customer needs Ability to relate to people at all levels Highly reliable and a team player Excellent writing, communication, and presentation skills BENEFITS Salary is negotiable based upon experience Medical with outstanding benefits package 401(k) Plan with company match Profit Sharing Paid Holidays/Vacation/Sick/Birthday Opportunities for career growth and advancement Interested candidates, please submit resume, along with salary requirements and references.
