Executive Assistant for an HR Consulting Services in the US (Home Based Part Time)
Virtual AssistantInbox & Communication Management Manage and triage inbox daily Identify priority items requiring executive attention Draft responses and handle correspondence where appropriate Task & Workflow Ownership Build, maintain, and own a centralized task tracker across all client engagements Proactively track deadlines, deliverables, and follow-ups Ensure all moving parts are organized and progressing Daily Executive Briefings Provide structured daily updates: Outstanding tasks Upcoming deadlines Pending responses or approvals Highlight risks, bottlenecks, and urgent matters Follow-ups & Accountability Proactively follow up on pending items with the executive and stakeholders Confidently and respectfully "manage up" to ensure priorities are completed Keep projects and communications moving forward without prompting Client & Business Awareness Develop a deep understanding of clients, projects, and priorities Anticipate needs and distinguish between urgent vs. non-urgent matters Support coordination across multiple HR-related engagementsMust Haves 3+ years experience as an Executive Assistant, Operations Coordinator, or similar high-level support role Experience supporting multiple clients or projects simultaneously (agency, consulting, or startup experience preferred) Exposure to HR, recruitment, payroll, or operations is a strong advantage Exceptional organizational and time management skills Strong written communication and email drafting ability High attention to detail with the ability to track multiple moving parts Ability to prioritize independently and make sound judgment calls Proactive self-starter who takes full ownership of tasks and outcomes Comfortable managing up and holding leadership accountable when needed Solutions-oriented with strong problem-solving ability Thrives in fast-paced, evolving environments Not reliant on instructions; anticipates needs and acts ahead Proficiency in Microsoft applications Experience with calendar and inbox management toolsNice to Haves Experience with QuickBooks for PayrollHome Office Requirements Please only apply for this role if you have the following home office requirements: Perfectly working headset and webcam Stable internet connection of at least 25 Mbps ~ 50 Mbps Up to date computer system with a minimum of Windows 10 or later and macOS Monterey (12.0) or later Quiet room with no distractions or background noises A backup plan if the power goes out or if your internet connection becomes unstable during your shift Only applicants meeting the strict criteria above will be contacted.
