This position requires strong attention to detail, confidentiality, and the ability to manage multiple data systems and student records in a fast-paced high school environment.The Administrative Assistant serves as a critical liaison among students, staff, families, and district departments while supporting academic, attendance, and disciplinary processes.Primary ResponsibilitiesStudent Information Systems & Data ManagementRun, generate, and maintain reports in the Skyward Student Management System, including but not limited to attendance, discipline, schedules, and academic performance dataEnter, update, and verify student information with a high degree of accuracy and confidentialityAssist the administrator with data analysis and reporting needs for the 11th Grade HouseAcademic Records & Grading CoordinationOrganize, collect, and record grades and academic progress reports received from the Middle Bucks Institute of Technology (MBIT)Ensure the timely integration of external academic records into student files and SkywardCommunicate with MBIT instructors and internal staff regarding missing or incomplete student academic documentationSupport grade verification processes and report distribution cyclesDiscipline & Confidential Student RecordsMaintain accurate and confidential records related to student discipline referrals and interventionsTrack disciplinary actions, outcomes, and administrative follow-up in accordance with school and district policyEnsure compliance with FERPA and all applicable confidentiality regulationsPrepare discipline-related reports for the house principal's review as neededOffice & Administrative SupportProvide day-to-day administrative support to the 11th Grade House PrincipalManage incoming calls, emails, and walk-in student/family inquiriesCoordinate scheduling, meetings, and communication with teachers, counselors, and administratorsAssist with student attendance monitoring, tardy tracking, and related interventionsMaintain organized digital and physical filing systems for student recordsProvide coverage at the main office entrance throughout the dayStudent & Staff SupportServe as a welcoming point of contact for students, staff, and familiesSupport student scheduling changes and enrollment adjustments as directedAssist with testing coordination, house-wide events, and student recognition programsRequired QualificationsHigh school diploma required; associate degree or equivalent post-secondary coursework preferredPrior experience in a school office or administrative support role strongly preferredProficiency with student information systems (Skyward experience preferred)Strong computer skills, including Microsoft Office/Google WorkspaceDemonstrated ability to maintain confidentiality with sensitive student dataExcellent organizational skills and attention to detailStrong interpersonal and communication skillsPreferred Skills & CompetenciesExperience working in a high school or student services environmentFamiliarity with career/technical education systems (e.g., MBIT or similar programs)Ability to manage multiple priorities and meet deadlinesProfessional judgment and discretion in handling confidential mattersCollaborative mindset and ability to support administrative leadershipAdditional ResponsibilitiesPerform other related duties as assigned by the building administration to support the efficient operation of the 11th Grade House Office and school community.Work EnvironmentThis position operates in a dynamic high school office setting requiring frequent interaction with students and staff.
