We're looking for a motivated, detail-oriented Administrative Coordinator to take on key operational functions — answering phones, creating support tickets, quoting, purchasing, and renewals — so our engineers can stay focused on delivering great IT service. You don't need to be a technical expert, but should have an ability to recognize patterns, stay organized across multiple moving parts, and communicate clearly in a tech-driven environment will set you up for success and growth within Level 2 Designs.ResponsibilitiesHandle incoming calls with excellent phone etiquette, create support tickets from calls, and direct to the right teamProvide customer support by addressing client questions promptly via phone or email, log all interactions as tickets, ensure a positive experiencePrepare and track customer quotes using company templates and vendor pricingManage purchasing requests, including vendor coordination and purchase order follow-upHandle renewals for software licenses, service agreements, and maintenance contractsMaintain organized records of quotes, orders, and vendor communicationsServe as a professional point of contact for clients and vendors via phone and emailSupport the IT team by taking on administrative and operational tasks as neededAssist with scheduling, reporting, and general office coordination, including order fulfillment for our wellness company Health by PrincipleAssist with office management duties such as ordering supplies, maintaining office equipment, and coordinating maintenance requestsQualificationsProven experience in office management or administrative support roles with strong clerical skillsProficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Sharepoint applicationsExcellent organizational skills with the ability to prioritize tasks efficiently in a fast-paced environmentStrong typing skills and computer literacy to facilitate data entry and document proofreadingPrevious experience as a dental or medical receptionist or personal assistant is advantageous but not requiredExperience using Slack/Teams is a plus
