Qualifications (Required and Preferred)Education: High School Diploma Experience: 2-5 years of experience in event coordination, marketing, or Public Relations Technical Proficiency: Highly developed skills in Microsoft Office Suite, Google Workspace, and design tools like Canva or Adobe Creative Suite Soft Skills: Requires a team and collaboration mindset, professional maturity, positivity, persistence and resourcefulness, strong project and time management, highly organized, self-starter with the ability to manage multiple projects, meet urgent deadlines, and cope with competing demands simultaneously, professionalism, and the ability to maintain confidentiality PREFERRED:Associate's Degree in Business Administration or related field CERTIFICATION OR LICENSES:NoneJob Duties and ResponsibilitiesThe incumbent will: CommunicationPositively promote the Temple College Foundation using written and verbal skills communicating concisely and persuasively Generate and create promotional items and invitations (to be approved by the marketing department) Post and manage social media platforms including, yet not limited to, LinkedIn, Facebook and Instagram Manage and coordinate the Foundation website pages as a dynamic communication tool Interact regularly with sponsors, donors, and volunteers EventsCoordinate all logistics, including venue selection, catering, audio-visual requirements, and vendor contracts Serve as the primary point of contact during events, overseeing staff, managing schedules, and troubleshooting issues in real-time Establish and maintain event budgets, track expenses, and manage vendor payments Manage attendee invitations, RSVP lists, and check-in processes Recruit and manage volunteers who will help execute events Possess strong organizational skills for event planning and build processes that can be replicated for future events Research, compile, and prepare reports for signature related events Foundation Office ManagementSupport Executive Director with Board correspondence and management of meetings including: Locate and schedule rooms for meetings or conferences, including contacting participants and arranging meals Assist with Board materials including, yet not limited to, minutes, agendas and attachments Assist with preparation of briefing materials and presentations for meetings and public engagements Send invitations and correspond with Board and Committee members Support Vice President of Development and External Relations Provide administrative support when needed Assist with preparation of briefing materials and presentations for meetings and public engagements Help manage departmental initiatives by making sure deadlines, deliverables, and follow-ups are completed on time Assist in preparing developmental reports, grant summaries, and materials for fundraising events Assist with research, data collection, and the creation of summaries to support decision-making Assist and oversee special assignments that involve collaboration across different department or with external partners Prepare budgets, track data, and complete forms for assigned budgets, including preparing credit card statements, purchasing requisitions, travel requests, and check requests Produce high quality reports and correspondence using the full Microsoft Office Suite or Google Workspace Create, maintain, process, and update files, records, and other documents (both physical and electronic) Answer, screen, and resolve telephone and walk-in inquiries Arrange and prepare travel, meal, lodging, and meeting itineraries for appropriate personnel Sort, screen, and distribute incoming and outgoing mail Inventory, order, stock, and distribute office supplies Run errands in town (make purchases, pick up items for events, etc.) Responsible for other reasonable, related duties and projects as assigned Update donor contact information to CRM. WORKING CONDITIONS:Work is normally performed in an o?ce setting. Duties will require traveling personal or school owned vehicles. This position will require evening or weekend work. ANNUAL AND SICK LEAVE ACCRUALSANNUAL LEAVE ACCRUALS:Regular, full-time twelve (12) month faculty and staff accrue Annual Leave as follows: Years of Service0 through 5Accrual Rate (Maximum Accrual Hours per Month) = 8 Accrual Rate (Maximum Accrual Hours per Year) = 96 Years of Service: 6 through 10Accrual Rate (Maximum Accrual Hours per Month) =10 Accrual Rate (Maximum Accrual Hours per Year) =120 Years of Service: 10 plus yearsAccrual Rate (Maximum Accrual Hours per Month) =12 Accrual Rate (Maximum Accrual Hours per Year) =144 Annual leave may be accrued up to a limit of 240 hours with special provisions allowing for annual accruals above that limit. Faculty with contracts less than 12 months do not accrue Annual Leave but are provided with 20 hours of personal time per fiscal year. SICK LEAVE ACCRUALS:Faculty and Administrative Staff: Accruals of 8 hours per month. Sick Leave may be accrued up to a limit of 1040 total hours. Faculty with contracts less than 12 months will receive accruals during the summer semester if they instruct during that time. ADDITIONAL INFORMATIONHOLIDAYS:Recognized college holidays, in addition to Annual and Sick leave accruals, include Labor Day, Thanksgiving Break, Winter Break, Martin Luther King Day, Spring Break, Good Friday, Memorial Day and Independence Day. PAYROLL: Employees are paid by direct deposit through the last working day of the month. Actual deposits are paid on the last working business day of the month. All benefit deductions are taken at that time. RETIREMENT: Temple College is one of the few community colleges in the state of Texas to be permitted Federal Social Security deductions. Temple College is a Section 218 employer. All regular employees are mandated by the Texas State Legislature to enroll in either the Teacher Retirement System (TRS) or the Optional Retirement Program (ORP) however, ORP participation is based upon position.
