Office Administrator – Rosemead, CA
Position Summary
This multi-functional professional position performs a variety of office and other related duties to assist all departments.
Primary Responsibilities
Various administrative duties as directed by site manager
Accepts and reviews incoming orders, and uses Oracle to enter and maintain sales orders, monitor inventory levels, consignments, and notify production scheduling as necessary
Reviews/understands customer requirements/order patterns and anticipate orders/changes
Contacts customers to coordinate customer orders with the production schedule and resolves any customer issues as they arise
Maintains customer account records and files customer correspondence and invoices
Assists outside and inside sales force and assure that all related activities are accomplished in a timely and accurate manner in accordance with established procedures
Allocates raw materials and close out Production Orders
Arranges for transportation of incoming or outgoing customer materials as required
Effectively communicates with customers as well as coworkers to quickly resolve issues
Administers accounts payable team by uploading invoices and responding to vendor inquires
Prepares, reviews and analyzes various reports and make recommendations to support and organize department operations
Works with management to streamline and create process improvements
Performs other duties and projects as assigned
Minimum Education and Experience
High school diploma required, preferably with a college degree. Experience in accounting and customer service a plus.
Other Qualifications
Well organized and detail oriented
Ability to multi-task and manage/prioritize multiple responsibilities
Extensive experience with Microsoft Office (Word, Excel and PowerPoint)
Excellent Math and English skills, basic Spanish speaking preferred
Strong desire to help others and drive the organization to improve
Basic understanding of Oracle (ERP) systems
Ability to effectively communicate with all levels of the organization
Ability to travel to other company sites when necessary
