We are currently seeking a motivated and dynamic high-level Executive Assistant / Operator to join our team.Position OverviewWe are hiring a high-level Executive Assistant / Operator to support two founders across two fast-scaling companies (one in rapid growth, one launching imminently).This is not a traditional administrative role. This person will act as a force multiplier—owning execution, building systems, and proactively solving problems before they reach the founders.You will be expected to think ahead, operate independently, and drive outcomes—not wait for instructions.Key Responsibilities1. Founder Leverage & Time OptimizationOwn and manage both founders’ calendars with a focus on prioritization, not just schedulingEnsure all meetings have clear objectives, context, and outcomesEliminate unnecessary meetings and interruptionsPrepare daily/weekly priority plans2. Inbox & Communication ManagementManage high-volume email and internal communicationsDraft, respond, and triage messages on behalf of foundersConvert communications into actionable tasks or delegationsEscalate only high-impact items3. Operational ExecutionTake high-level goals and break them into executable plansBuild timelines, assign tasks, and track completion in ClickUpFollow up with team members to ensure deadlines are metEnsure nothing falls through the cracks4. Systems & Process DevelopmentIdentify inefficiencies and recurring issuesBuild and document SOPs across operations, front desk, patient flow, and internal workflowsContinuously refine systems as the business scales5. Proactive Problem SolvingAnticipate issues before they arise (staffing, scheduling, inventory, patient experience)Present solutions—not just problemsOperate with a “what could break?” mindset6. Team Communication & AccountabilityServe as a central point of coordination for the teamEnsure clarity on roles, responsibilities, and expectationsReinforce standards of execution and follow-through7.
