In this vital role you will provide complex administrative and operational support to the General Manager (GM) of Ultra-Rare Medicines, within the U.S. Rare Disease Business Unit.The Administrative Coordinator (AC) work assignments will require discretion and confidentiality, as well as considerable tact, judgment, creativity and initiative in resolving issues. The AC must also be able to manage multiple priorities in a continually changing environment.This role will support the GM and their direct reports (~8) with core responsibilities such as:Executive SupportEnsuring timely coordination of department members' administrative needs including, but not limited to:Manages multiple and/or or complex team calendars & email distribution listsCoordinates domestic and international travel, prepares expense reports, and ensures compliance with company travel policies and trainingsCoordinates end-to-end meeting logistics including scheduling, room reservations, catering, technology setup, agenda preparation, and tracking action itemsPartnering with the marketing/sales planning teams on all-staffs and sales meetings to ensure all technical components of the meeting run smoothlyCommunication & CoordinationSupport the preparation of materials for internal meetings, business reviews, and team engagementsPrepare, proofread, and format high-quality communications, presentations, and documentsLiaise with cross-functional partners, executive assistants, and global teams to align schedules and workflowsMaintain regular communication with internal stakeholders, managing follow-ups and flagging action items, partnering with members of the team to disseminate large communications (organizational announcements, Sales/Marketing communications, etc.)Administration ExcellenceSupporting team culture initiatives such as team on-sites and meetingsProviding support to marketing with vendor contracting, creating purchase orders, congresses support and basic MAC submissionsProviding administrative support for cross-functional initiatives and special projects as assignedEnsuring team maintaining tech-forward growth mindset by continuously testing and sharing new technology and/or productivity tools to improve operationsWhat we expect of youWe are all different, yet we all use our unique contributions to serve patients. The administrative professional we seek is someone with these qualifications.Basic Qualifications:Associate's degree and 2 years of administrative experience OR2 years in a technical school setting with hands-on experience ORHigh school diploma / GED and 4 years of administrative experiencePreferred Qualifications:5+ years' experience in an administrative support roleStrong knowledge of technology, including Outlook, Excel, PowerPoint Skills and use of AI tools such as ChatGPTKnowledge of SAP, Webex, MS Teams, SharePoint and ConcurStrategic problem solver who loves to "think ahead" and anticipate solutions to logistical issuesAbility to work in a fast-moving, results oriented environmentStrong cross functional partnership and communication across multiple members of the teamDiscretion in dealing with proprietary or confidential informationHelpful, can-do attitude with a solution-oriented approachPolite and personable 'team player'Skilled at remaining calm under pressureAbility and willingness to travel to company meetings, sites, etc. (~10%)What you can expect of usAs we work to develop treatments that take care of others, we also work to care for your professional and personal growth and well-being.
