Our Founder is a sought-after creative technologist who delivers live speaking engagements, virtual workshops, and in-person presentations.Position OverviewWe are seeking an experienced Executive Assistant/Personal Assistant to provide comprehensive support to our Founder, who leads a dynamic creative technology company while managing a young family in Portland. This role combines traditional executive assistant responsibilities with personal and household management tasks, requiring someone who can seamlessly navigate both professional and personal priorities with exceptional attention to detail.Key ResponsibilitiesExecutive SupportManage complex calendar scheduling and coordinationClient relationship managementOutbound communication, email management, and correspondenceCoordinate travel planning and logistics for business trips and speaking engagementsProvide meeting coordination and follow-up supportForward planning, and management of priority task trackingPersonal & Household ManagementAid in the Founder's balance between high intensity work and personal/family goalsCoordinate home-related appointments with service providersManage family scheduling and calendar coordinationHandle personal errands including occasional shopping and item pickupSchedule and coordination personal and family appointmentsCollaborate directly with the Founder and their partner on family needsAdministrative TasksMaintain organized filing systems and documentationHandle confidential information with discretionSupport project coordination as neededAssist with workshop and speaking engagement logisticsQualificationsRequired Experience & Skills10+ years of experience as a personal assistant, executive assistant, or house managerExperience working in a services firm with exposure to high-value client relationships (e.g. a marketing or advertising agency, financial services, legal services, etc).Very strong communication and interpersonal skills (you must love people)Proven track record of success coordinating complex tasks with high attention to detailExperience managing both professional and personal responsibilitiesComfortable handling confidential and sensitive informationTechnical RequirementsProficiency with Apple ecosystem (iPhone, MacBook)Experience with Google Workspace (Gmail, Google Calendar, Google Drive)Familiarity with Notion (preferred but not required)General comfort with technology and learning new platformsTransportation & LogisticsValid driver's license and reliable personal vehicle for running errands, ORConfident and timely use of public transportation in Portland areaWork ArrangementHours: 20-40 hours per week, flexible schedulingSchedule: Monday-Friday, mostly standard office hours.Location: Flexible remote/hybrid arrangement with preference for at least 1-2 hours in-office weekly at the company's NE Portland office.Travel: Minimal, primarily local errands and appointmentsWhat We OfferCompetitive compensationFlexibility to work around your life commitments (we generally don't have a meeting-centric culture)Understanding of working parents, juggling school commitments, and work-life balanceYou will be at the cutting-edge of AI technology and creative marketingDynamic work environment supporting both business innovation and family lifeIdeal CandidateYou are a seasoned professional who thrives in a dynamic environment where no two days are the same.
