Office AdministratorWe are seeking a highly organized and proactive Office Administrator to provide dedicated support to a senior officer while ensuring the smooth day-to-day operations of the business unit and office environment. This role serves as a central point of coordination, helping drive efficiency, organization, and communication across the team.
The ideal candidate is detail-oriented, adaptable, and capable of managing multiple priorities in a fast-paced, professional setting.
Key ResponsibilitiesExecutive Support
Provide comprehensive administrative support to a senior officer, including calendar management, meeting coordination, and travel arrangements
Prepare reports, presentations, and correspondence on behalf of leadership
Act as a liaison between the senior officer and internal/external stakeholders
Manage confidential information with discretion and professionalism
Office & Business Unit Administration
Oversee daily office operations to ensure an efficient and well-organized work environment
Coordinate internal meetings, events, and team communications
Support business unit workflows, tracking key deliverables and deadlines
Assist with budgeting, expense tracking, and invoice processing
Operational Coordination
Improve and maintain administrative processes to enhance productivity
Manage office supplies, vendor relationships, and facility needs
Support onboarding logistics for new hires (workspace setup, materials, coordination)
Maintain accurate records, filing systems, and documentation
Qualifications3+ years of experience in an administrative or office management role, preferably supporting senior leadership
Strong organizational and time management skills with the ability to prioritize effectively
Excellent written and verbal communication skills
High level of professionalism and discretion handling sensitive information
Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)
Ability to work independently and proactively in a dynamic environment
Preferred QualificationsExperience supporting executives or senior officers
Familiarity with office management tools or project coordination platforms
Experience in a corporate or professional services environment
Ability to read, analyze and interpret general business periodicals, professional journals, technical procedures or governmental regulations. Ability to write reports, business correspondence and procedure manuals. Ability to effectively present information and respond to questions from a variety of both internal and external sources.
