Are you a facilities management professional with a demonstrated track record of having solid relational and leadership capabilities? Do you have experience ensuring the upkeep and construction of a diverse set of properties? If so, Terwilliger Plaza, one of Oregons most vibrant and well-manicured senior living facilities, is looking for a new Vice President of Facilities. The Vice President of Facilities manages a Director of Facilities, a Director of EVS, and a department of forty. The Vice President of Facilities is responsible for all facility maintenance operations, remodels, preventive maintenance services, capital repair/projects, improvement projects, Environmental Services, Housekeeping, and ad hoc projects as needed. The Vice President of Facilities responsibilities include developing, maintaining, and evaluating efficient and effective processes/systems. This role will ensure the Facilities Department has the proper operational controls, administrative and reporting procedures, and people in place. This position reports to the Chief Operating Officer.

Facilities Management & Maintenance:
Responsible for Terwilliger Plaza's physical plant, common areas, and apartments, including capital repair and replacement plans with a minimum of five-year future-looking estimates. This is done with outside consultants, administration, engineers, and other personnel and is updated annually in coordination with the Plaza budget process.
Provide supervision and oversight to installing, repairing, and maintaining equipment, electrical, gas, water, sewers/fire sprinklers, HVAC, and all building equipment and facilities operations.
Responsible for maintaining mutually beneficial relationships with outside contractors related to facility operations and management. This includes reviewing contracts and estimates, selecting vendors, overseeing projects, assuring vendors follow Plaza policies, and signing off at project completion.
Responsible for scheduling multiple projects in accordance with daily work schedules, requests, and promised timelines.
Tracks all costs associated with projects, reviews monthly financial reports for accuracy/completion, and assures that vendor invoices are processed in a timely manner according to Plaza policies.
Approves and directs purchases and expenditures within budgetary limits and purchasing policies.
Monitor work orders and develop appropriate plans to ensure timeliness of completion, quality, and residents satisfaction.
Maintains awareness, understanding, and compliance with city, county, state, and federal regulations relating to the maintenance department. Coordinates and monitors the facility permit process and city code issues to ensure permits are obtained, and code enforcement notices are resolved on time.
Provides consultation to contractor(s) or other service providers (plumbers, electricians, designers, or inspectors) on difficult issues, questions, and/or concerns that require a change order or alter the workscope.
Coordinates with the necessary people to review plans and inspect apartments in all construction phases.
Responsible for ensuring that planning, organizing, and developing the overall operation of the Environmental Services Department, including laundry, housekeeping, and janitorial, occur.
Provide oversight to all resident move-ins.
Safety & Security
Participates actively in creating, implementing, and maintaining the Plazas Emergency Management Plan and procedures.
Oversees all occupational health and safety initiatives, including OSHA compliance, ergonomics, incident prevention, and facilitating the Safety Committee.
Actively participates in emergency preparedness for the organization, ensuring a plan is in place, and Members and staff are trained to handle emergencies.
Provides guidance on safety initiatives for program-specific and Terwilliger Plaza-wide plans; reviews safety issues, incident reports, and hazards to uphold maximum safety standards for all staff.
Compliance, Risk Management & CQI
Works closely with management team members to meet residents needs and expectations, state regulations and license requirements, building codes, licensing, and certifications.
Responsible for Fire Life Safety Compliance (Documentation, Data Analysis, etc.).
Evaluate potential and actual loss exposures, and determine, recommend, or implement appropriate corrective action to prevent similar incidents in the future.
Services and Operations: Direct Report Areas
Seek regular Member feedback on services and operations; aim to resolve or mitigate concerns; and incorporate feedback to improve practices and shape plans.
Participates in the annual budget and capital projects process for all responsible departments and services. Reviews and interprets monthly financial statements related to programs. Analyzes variances and implements action plans to achieve financial targets.
Ensures areas within the scope of responsibility have current job descriptions and staff receive accurate performance appraisals.
As needed, assists in recruiting, selecting, and training department personnel. Works to promote a culture of individual growth and development of leadership and staff.
Develops and adapts training and orientation programs to meet regulations, staffing requirements, and changing population needs.
Stays current in relevant field.
Experience & Education
Five years of leadership experience required, preferably in a senior leadership role. Previous experience in facilities management is required.
Previous leadership experience in healthcare, housing, and/or Continuing Care Retirement Communities is preferred.
Previous nonprofit experience, preferably with a highly engaged board of directors.
A bachelors degree in maintenance, engineering, construction management, project management, or a related field or an equivalent combination of education and experience is required.
Knowledge and Skill Requirements
Knowledge and comprehension of all licensing and fire code requirements and OSHA regulations.
Knowledge of appropriate vendors and outside contractors is necessary for scheduled maintenance upgrades and repairs to the facility.
Knowledge comprehension of operating, troubleshooting, and maintaining electrical systems of various applications.
Knowledge and comprehension of the National Electrical Code (NEC).
Knowledge and comprehension in the use of hand and of power tools such as floor machines, power hand tools, boilers, etc.
Knowledge and comprehension of all phases of facilities services and facility operations, as well as updates as required.
Knowledge and comprehension of necessary phases of interior construction and materials; updates as required.
Knowledge and comprehension of methods used in maintenance including basic knowledge of the following trades: plumbing, painting, appliance repair, standard practices and tools used in the maintenance and repair of building facilities; safety practices and procedures related to the building trades structures.
Effective professional communication (both written and verbal) and interpersonal skills.
Microsoft Office and composing letters and memos using correct grammar and structures.
Skill in reading and evaluating blueprints, online drawings, panel layout sheets, and other technical schematics.
Skills in using analytical and research skills to define and solve problems.
Skill in establishing and maintaining cooperative working relationships with others.
