Facilities Setup Supervisor

The Facilities Setup Supervisor oversees the facility setup of OMSI's internal and external events. Main responsibilities include ensuring best practices, efficiency, and safety concerns are met. The Facilities Setup Supervisor reports to the Custodial Operations Manager and works closely cross-departmentally with teams in operational matters. Essential Duties and Responsibilities: Facilities Setup Operations: Performs setup, takedown, and cleaning of event spaces (e.g. lifting and moving multiple tables, chairs, podiums, tents, stanchions, guard rails, and pipe and drape) prior to and post event, and equipment staging for internal OMSI events, external events, and rentals under the guidance and supervision of the Custodial Operations Manager; Works collaboratively with the Facilities, Events, Museum Engagement, and IT departments to ensure the successful and timely execution of space and events requests; Properly stores, tracks, and maintains events equipment, as well as organizing events supply closets in a safe manner. Communicates with Custodial Operations Manager about emerging and rising repairs and inventory levels; Plans and communicates labor and equipment needs to Custodial Operations Manager and/or Facilities Setup Lead to successfully fulfill event needs; Works with Custodial team on custodial duties as needed. Administrative Responsibilities: Provides a positive and customer-centric experience to OMSI staff and guests, with an emphasis on strong communication and troubleshooting; Communicates with guests and staff about safety protocols in relation to facilities setup (e.g. being near heavy equipment and large items); Checks email communications for Banquet Event Order (BEO) forms, including updating events scheduling calendar and troubleshooting errors in booking; Acts as a point of contact for maintenance troubleshooting during after hours; Places work orders on behalf of Custodial team to ensure maintenance of resources at OMSI; Remains knowledgeable of and supports guest safety and protocols (e.g. lost children, fire alarms), including acting quickly and effectively in case of emergency in compliance with relevant Emergency Action Plan (EAP) procedures. Indirectly oversees Custodial positions, and interfaces with non-OMSI personnel. Tasks include-but are not limited to-the following: Indirectly supervises Custodial staff including but not limited to delegation of facilities setup responsibilities; Ensures compliance with OMSI, facilities, and custodial safety procedures and policies; Ensures staff coverage by stepping in as needed, including other duties assigned by Custodial Operations Manager. Working Conditions: This position is non-exempt, paid hourly; This position is regular full-time scheduled for 40 hours/week; Requires working onsite at the museum location; Generally scheduled to work Tuesday-Saturday with hours dependent on booked events; schedule expectations can be discussed with the Custodial Operations Manager to provide flexibility and address museum needs; Requires working on weekends, holidays, special events, and/or evenings as scheduled. Physical Demands: 5% sitting, 75% standing, 20% lifting/carrying/pushing 200 lbs.; Vision Demands include: Close vision (clear vision at 20 inches of less) Peripheral vision (ability to observe an area that can be seen up and down or to the left or right while eyes are fixed on a given point) Depth and perception (three dimensional vision, ability to judge distance and spatial relationships) Ability to adjust focus (ability to adjust the eyes to bring an object into sharp focus) Distance vision (clear vision at 20 feet or more) Environmental Demands include: Wet or humid conditions (non-weather) Extreme heat (non-weather) Outdoor weather conditions Work near moving mechanical parts Work in high, precarious places Fumes or airborne particles Harmful or caustic chemicals Risk of electric shock Noise Levels include: Quiet (examples: library, private office) Moderate (examples: business office with computers and printers, light traffic) Loud (examples: metal can manufacturing department, large earth-moving equipment) Secondary Responsibilities Additional responsibilities as assigned by Facilities management. Knowledge and Skills: REQUIREMENTS: Business Practices: Ability to effectively supervise and oversee quality of work of others; Attention to detail and strong organizational skills; Strong customer service and communication skills; Ability to adhere to confidentiality, protocol, and community agreements; Ability to pivot between individual and team work; Ability to generate buy-in from internal and external stakeholders; General knowledge of and ability to use a computer; Ability to model and support a positive team dynamic with paid and unpaid staff. Custodial Skills: Working knowledge of the proper methods, techniques, materials, disinfectants, tools and equipment used in modern custodial work; Working knowledge with operating and maintaining custodial equipment; Ability to troubleshoot and problem solve custodial-related issues; Ability to learn and follow safety and protocol regulations. PREFERENCES: Proficient or native fluency in a non-English priority language in Oregon. Education & Work Experiences: REQUIREMENTS: Prior commercial event setup experience; Prior custodial-related experience; Demonstrated experience and/or the ability to lead a team.
