We are currently seeking a dedicated and experienced Operations and Finance Administrator to join our dynamic team.

Monday- Thursday 8:00am-4:00pm
Friday: 8:00am-12:00pm
Job Description: As the Operations and Finance Administrator, you will lead and direct the routine functions of the administration's department including purchasing, phone calls, emails, administrative needs and tracking. Financial responsibilities to include overseeing the financial activities of the business including accounts payable, receivable, and enforcing budgets.
Key Responsibilities:
Oversee and manage administrative operations for highway construction projects.
Ensure compliance with TxDOT regulations and standards
Data enter invoices, bills, receipts, etc.
Process Subcontractors payments
Monitor and process monthly billings
Maintain accurate project documentation, including contracts, permits, and reports.
Oversee accounts receivable- run monthly billings for projects
Maintaining weekly updated reports on payments/project billings and tracking
Perform contract collection calls to capture missed payments
Communicate with leadership about understanding payments from their vendors and collaborate to get back on track.
Stay in touch on an on going basis with accounts payable/accounts receivables regarding all billings and related documentation, communications, and objectives that must be completed and ensure we are on time, accurate and complete in all areas.
Calculate projections for budgeting purpose
Develop and maintain annual company budget
Create, manage, and execute the special event budget
Attempt to collect on delinquent accounts consistently for 90 days
Submit delinquent accounts over 90 days to collections
Perform weekly finance audits (QuickBooks)
Maintain program Cash Flow Projection reporting (Project Tracker)
Operations:
Provide management to staff and leadership to the organization that aligns with the company's business plan and overall strategic vision.
Assist executive/leadership team members in creating, growing, and building the operations department and the organization.
Drive company results from both an operational and financial perspective, working closely with the COA (Chief of Administrative Operations) and other key executive/leadership team members.
Partner with the COA (Chief of Administrative Operations) to achieve favorable financial results with respect to sales, profitability, cash flow, mergers and acquisitions, systems, reporting and controls.
Set challenging and realistic goals for growth, performance and profitability.
Create effective measurement tools to gauge the efficiency and effectiveness of internal and external processes.
Provide accurate and timely reports outlining the operational condition of the company.
Spearhead the development, communication and implementation of effective growth strategies and processes.
Work closely with the leadership team to create, implement, and roll out plans for operational processes, internal infrastructures, reporting systems and company policies all designed to foster growth, profitability and efficiencies within the company.
Foster a growth oriented, positive, and encouraging environment while keeping yourself and others accountable to company policies, procedures, and guidelines.
Other responsibilities include but are not limited to: Basic administrative errands/task such as taking out the trash, mail drop offs, courthouse, or supply pickups.

Excellent written and oral communication skills required
