Commercial Electrical Services – National Retail Retrofit Projects
Position Summary
The Project Assistant plays a key support role in the successful execution of national commercial electrical and lighting retrofit projects for major retail clients. This position is an on-site, office-based role and the employee is expected to report to the office each scheduled workday. The Project Assistant works closely with the Project Manager and internal teams to ensure projects remain compliant, organized, on schedule, and properly documented.
Responsibilities include licensing and permitting coordination, equipment and material tracking, invoicing support, project progress tracking, and clear communication of status updates, risks, and issues across multiple concurrent projects.
Key Responsibilities – Licensing & Permitting
Coordinate and manage state, county, and municipal licensing and permitting requirements nationwide
Track license and permit renewals, expirations, and compliance requirements
Prepare, submit, and follow up on permit applications
Maintain accurate permitting and licensing records
Project Coordination & Tracking
Track project schedules, milestones, and progress
Identify delays, risks, and compliance issues
Maintain project documentation and reports
Communicate progress and issues to the Project Manager
Equipment & Product Tracking
Track materials and equipment from order through installation
Maintain delivery and usage records
Coordinate material availability with internal teams
Reconcile product usage against project scope
Invoicing & Administrative Support
Assist with project invoicing and documentation
Track invoice status and outstanding items
Support project closeout documentation
Maintain organized project files
Team Collaboration
Work closely with Project Managers, Service Managers, field teams, and accounting
Coordinate information between departments
Respond to project-related inquiries
Qualifications & Skills
Experience in project coordination or administrative support
Construction or commercial electrical experience preferred
Strong organizational and multitasking skills
Proficiency in Microsoft Office
Strong written and verbal communication skills
Salary & Benefits
Salary: starting at $20.00 to $25.00 per hour
