Document Support Representative I

| Onsite Opportunity – Henderson, NVGeneral SummaryThe Document Support Representative I will perform a variety of Document Services functions including sorting and scanning correspondence, document indexing and mail equipment operation. This position will print and distribute system generated documents, mass mailings, materials for trainings and presentations, and sort/distribute Post Office mail, inter-office mail and courier packages.Essential Duties And Responsibilities Analyze, research, identify, and prepare incoming documents including Post Office correspondence and courier packages for multiple business units to ensure easy access and retrieval. Maintain records to meet retention guidelines for archiving and disposal of documents based on company policies and regulatory requirements. Collaborate with other departments (e.g., HR, Legal, Finance) to ensure smooth document flow and integration with other business systems. Convert physical documents and media into system acceptable formats using appropriate scanning tools and software. Process work assignments timely while adhering to Service Level Agreement parameters established by company policies and procedures. Print, organize, assemble, and distribute system generated documents and other materials within regulatory and state established deadlines. Process outgoing documents ensuring they are completed and mailed in accordance with company timelines. Respond and request information from internal and external customers, including but not limited to policyholders, health care providers, injured workers, attorneys, and agents/brokers and follow up as needed. Maintain records to meet retention guidelines for archiving and disposal of documents based on company policies and regulatory requirements. Operate mail equipment including printers, scanners, cutter machine, etc. Manage electronic mail inboxes related to claim kit requests, print requests, special and document handling requests. Occasionally, deliver mail directly to the Post Office or to FedEx drop-off stations, as needed. Record personal performance statistics through tracking applications and spreadsheets. Complete production and other department reports. Offer process improvement suggestions to leaders on responsibilities that may be performed more effectively or efficiently. Act in accordance with policies, procedures, statues, and laws, as applicable. Other duties as assigned. Job Requirements Proficient in the use and knowledge of MS Office software, including Word, Outlook, and Excel. Familiar with general office procedures, methods, and equipment including computers, printers, fax machines and telephone systems. Must maintain a valid driver’s license. Some knowledge of insurance, medical terminology, or medical billing preferred. Some knowledge of Post Office services and regulations preferred. EMPLOYERS Benefits Work Environment This position is required to be in-office full time with minimal travel to other office locations/meeting locations occasionally. This role potentially and will routinely use office equipment such as computers, phones, printers, and web conferencing technology as examples. Must be able to remain in a stationary position 90% of the time while performing tasks. May work early, late, or occasional weekend hours to accommodate business needs Occasional lifting of a maximum of 50lbs.
