Operations Manager - Hospital-Based COE Admin

The Operations Manager will participate to plan, implement, manage and evaluate division/service activities for Children's National Medical Center in accordance with accepted national standards and administrative policies.Minimum EducationBachelor's Degree (Required) Or Relevant experience beyond the minimum required work experience may substitute for the educational requirement on a 1-to-1 ratio ( i.e. one year of relevant work experience equals one year of required education)Master's Degree (Preferred)Minimum Work Experience5 years Related and progressive experience (Required)3 years Program/operations functional management or management/supervisory experience (Required)3 years Experience in writing/ communications, healthcare administration and non-profit management (Preferred)Required Skills/KnowledgeFamiliarity and experience with electronic database research tools, including use of the Internet.Understanding of management information systems and technology is helpful.Full command of Microsoft Word, Excel and/or similar software applications.Functional AccountabilitiesProgram/Division Administration and ImplementationImplement strategic plan through management of day-to-day operations of division/ service area; troubleshoot operational issues and develop action plan to resolveCollaborate with Center Director on significant operational issues/barriers.Assist Center Director in development, implementation and evaluation of division services, programs, policies and procedures, and performance standards to achieve divisional goals.Develop and implement systems to monitor and improve performance and service quality.Budget and Financial ManagementPrepare documentation and projections to support the divisional operating and capital budget planning processEvaluate and recommend purchase of new equipment needed to maximize productivity and quality of careImplement actions to facilitate meeting budget requirements and administer division/program within budgetary guidelinesMonitor monthly performance reports and budget variances and resolve discrepancies as needed.Evaluate reimbursement and denial trends and develop and implement action plans to address issues.Program Evaluation & Enhancement* Assist in the development, evaluation and implementation of new ventures, services and partnerships.* Work with the Center Director to develop evaluation tools to measure each aspect of clinical delivery.Grants ManagementIdentify new sources of funding and write template proposals.Assist Foundation to prepare grant reports two weeks prior to due date, include expense report/statements for director's edit and approval.Monitor monthly special purpose funds performance reports and resolve discrepancies as needed.Human Resources ManagementCollaborate with Center Director in all hiring and disciplinary actions.Ensure all personnel records are complete and annual reviews are completed in a timely fashion.Ensure all personnel are in compliance with Occupational Health requirements.Ensure all clinical personnel are in compliance with the Medical Staff Office.Ensure training and competency of all administrative staff with documentation as required by JCAHO standards.Manage all employee grievances, worker's compensation, or occupational health concerns in collaboration with the director and the appropriate CNMC department.Community OutreachCollaborate with Government and Community Affairs department to promote community events.Serve as the liaison between CNMC and external stakeholdersEnsure the availability of promotional items at community events.Project ManagementDevelop business plans for new programs, sites, or equipment.Create project plans with milestones, deliverables, and accountability assignments.Deliver projects on time and on budget.SafetySpeak up when team members appear to exhibit unsafe behavior or performanceContinuously validate and verify information needed for decision making or documentationStop in the face of uncertainty and takes time to resolve the situationDemonstrate accurate, clear and timely verbal and written communicationActively promote safety for patients, families, visitors and co-workersAttend carefully to important details - practicing Stop, Think, Act and Review in order to self-check behavior and performanceOrganizational AccountabilitiesOrganizational Accountabilities (Staff)Organizational Commitment/IdentificationTeamwork/CommunicationPerformance Improvement/Problem-solvingCost Management/Financial ResponsibilitySafety
