Job Title: Program Assistant
Reports to: Program Manager
Job Classification: Part Time 21 hours/ week
The Program Assistant supports the food bank's daily operations and programs by coordinating food distribution activities, assisting clients, maintaining records, and working closely with staff and volunteers to ensure efficient service delivery to the community.
Key Responsibilities:
Program and Client Support:
Coordinate and execute food distribution programs.
Provide respectful and compassionate assistance to clients, including greeting them.
Manage client intake, registration, and data entry processes.
Operational and Inventory Management:
Maintain accurate records for services provided and food inventory levels.
Ensure adherence to all food safety and sanitation guidelines.
Assist with packing, sorting, and distributing food items.
Community and Volunteer Engagement:
Support the scheduling and coordination of volunteers.
Help organize and execute food drives, outreach initiatives, and other community programs.
Administrative Duties:
Provide general administrative support, including filing, answering phones, and managing emails.
Qualifications:
High school diploma or equivalent
Previous experience in administrative support, nonprofit work, or customer service is a plus
Strong organizational and multitasking skills
Basic computer skills (Microsoft Office, data entry systems)
Excellent communication and interpersonal skills
Ability to work with diverse populations in a respectful and inclusive manner
Ability to lift and carry moderate weight (typically up to 25–40 lbs)
Possess a valid drivers license
Preferred Skills:
Bilingual or multilingual abilities, experience working with volunteers
Knowledge of community resources and social services

Relationship Management: Cultivate and maintain strong, positive relationships with all clients, partners, and volunteers.
Quality & Timeliness: Ensure all tasks are completed accurately, with meticulous attention to detail, and delivered within established deadlines.
Operational Efficiency: Proactively identify and eliminate redundancies in existing operations to enhance overall effectiveness.
Team Collaboration: Act as a collaborative team member, ensuring relevant staff are included in the process of problem identification and resolution.
Change Implementation: Successfully introduce and integrate new procedures into the daily workflow.
WORKING ENVIRONMENT & PHYSICAL REQUIREMENTS
This role operates within a fast-paced office setting. The employee must be able to work under pressure and meet deadlines, which may occasionally require overtime or weekend work. Physical Activities: Essential physical requirements include standing, walking, climbing, typing, and using hands to finger, handle, feel, grasp, and type. The role occasionally requires sitting, crouching, and bending down to the waist.
Data Entry: Performing data entry requires the staff member to sit or stand at a computer for several hours while manipulating or entering data.
Lifting: The role is primarily sedentary but requires the ability to lift up to 50 pounds.
Vision: Specific vision abilities required include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus.
Travel: Travel by vehicle or airplane may be required.
