Responsibilities include quote and order management, order status reporting, installation coordination, client communication, and punch list follow-up.This position partners closely with sales, vendors, operations, and clients to support projects from initial opportunity through installation and project completion. The ideal candidate is highly organized, detail-oriented, collaborative, and comfortable managing multiple priorities while delivering an exceptional client experience.Key ResponsibilitiesSales & Account ManagementSupport account managers and sales teams throughout the project lifecycleAcquire vendor discounts and verify pricing (CDA)Assist with specification review and verificationPrepare quotes and support conversion from quote to orderComplete required order header information (sales codes, taxes, ship-to information, carton/uncarton requirements)Complete applicable order instructions and supporting documentationColor code floor plans and organize countsRequest Certificates of Insurance (COI)Manage and reserve COM and COL requirementsManage COD processes and handle auto pricingAssist in labor quote requestsEnsure proper approvals prior to quote conversionRequest proforma invoices when deposits are requiredEnsure orders are properly released within HedbergOrder & Project CoordinationConfirm receipt of purchase orders with vendorsConfirm acknowledgements and manage vendor follow-upCreate and manage vendor requests for depositsLead resolution of acknowledgement discrepanciesCreate and maintain order status reports throughout project executionCoordinate with internal and external stakeholders to maintain timelines and deliverablesPre-InstallationCreate Operations requests (union/non-union; standard time/overtime)Assist in preparing installation packages and supporting project documentationInstallation & Project CloseoutMaintain punch list documentation and communicate updates to clientsOrder punch list items and coordinate approvals where applicableCreate laser and RA tickets when PM support is not involved to support freight claimsSupport successful installation completion and project closeoutPost InstallationCoordinate invoicing upon delivery and installation completionProcess day-two orders and follow-up activitiesMaintain client contact to ensure satisfaction and ongoing relationship managementQualificationsSkills & QualificationsHigh School Diploma plus 1–3 years of professional experience requiredSalary Range: $90,000 – $120,000 annuallyBachelor’s degree or equivalent combination of education and experience preferredPrior experience in account management, sales coordination, commercial interiors, architectural products, walls, construction, furniture dealership, project coordination, or related industries preferredExperience supporting sales teams and managing client relationships throughout the project lifecycle preferredFurniture dealership and/or Walls experience is a plus but not requiredKnowledge of commercial construction processes, specifications, order management, and installation coordination preferredProficiency with Microsoft Office Suite (Outlook, Excel, Word); experience with Hedberg or similar ERP/order management systems preferredProven organizational and time management skills with strong attention to detailStrong critical thinking and problem-solving capabilities
