Project CoordinatorChesapeake, VAContract-to-Hire OpportunityOur client is seeking a highly organized and detail-oriented Project Coordinator to support engineering and construction projects in Chesapeake, Virginia. This role works closely with the Project Manager and project team to coordinate administrative, operational, and communication activities that ensure successful project execution.The ideal candidate is proactive, collaborative, and capable of managing multiple priorities in a fast-paced project environment while maintaining accuracy and professionalism.Position SummaryThe Project Coordinator facilitates engineering and construction projects by collaborating with project leadership and team members to provide administrative coordination, project tracking, and communication support. This position serves as a key liaison between internal teams, clients, vendors, and stakeholders to help ensure project and program objectives are achieved efficiently.Key ResponsibilitiesCoordinate project activities in collaboration with the Project Manager and project teamFacilitate communication between vendors, suppliers, clients, and internal stakeholdersResearch and resolve project-related questions and provide timely responsesPrepare and present meeting notes, reports, presentations, and data tables using Microsoft Office toolsManage project setup activities and maintain documentation updatesTrack project deadlines, milestones, and benchmarksSupport preparation of monthly progress reports, including action items and status updatesPlan and coordinate on-site and off-site meetings, including orientations, training sessions, stakeholder meetings, and reviewsCoordinate required training programs and maintain compliance records for project personnelObtain physical document sign-offs and maintain electronic and hard-copy filing systemsReview bills, invoices, trip tickets, and expense reports for accuracy and complianceCoordinate IT resources for project offices and staff with internal support teamsProvide follow-up reporting on accounts receivable and unbilled itemsAssist with project cost forecast updates and reportingRun PPS reports as requiredInvestigate project expenses not billed to clients and report findings to the Project ManagerAssist in preparation of client contracts and subcontract agreementsSupport project closeout activitiesDevelop and maintain internal project proceduresEstablish priorities and deadlines for project deliverablesPerform additional duties as assignedComply with all company policies and standardsRequired QualificationsBachelor's Degree in a related field with 8+ years of experience , ORAssociate Degree in a related field with 10+ years of experience , ORHigh School Diploma/GED with 11+ years of experienceAbility to work independently with strong accuracy, organization, and problem-solving skillsAdvanced proficiency in:Microsoft WordMicrosoft ExcelMicrosoft AccessMicrosoft PowerPointExcellent organizational, communication, and multitasking abilitiesDemonstrated ability to interact effectively with all levels of an organizationCompliance RequirementThis position supports a federal project and is subject to federal drug-testing requirements.
