Legal Administrative Assistant The Legal Administrative Assistant supports the delivery of quality legal services to clients by providing specialized administrative assistance to assigned attorneys and legal personnel pertaining to all aspects of the Private Client and Estate Planning practice areas. Assignment involves multi-tasking, complex document production, heavy administrative functions, and client contact, requiring a high degree of executive administrative and technical skills. Our Legal Administrative Assistants typically support two-to-three attorneys or other legal personnel as a primary assignment and provide back-up support to other legal personnel as requested. The right candidate will demonstrate professionalism in all internal and external interactions with clients, co-workers and third party affiliates. The position maintains strict confidentiality in all client and firm matters. Job Summary: Generate, prepare, and organize documents and forms requisite to the practice area, including trust account opening forms. Create, edit and compile large, complex, heavily formatted documents. Prepare documents from draft or dictated format. Proofread all documents for accuracy and completeness. Manage and maintain calendars of assigned attorneys and legal personnel using MS Outlook. Schedule appointments and meetings. Prepare new case reports. Generate new files and maintain client and general files. Prepare files to be closed utilizing proper records storage procedures. Input attorney/legal personnels time utilizing the Firms time entry software on a daily basis. Manage client contact with ability to accommodate wide range of client needs. Position Requirements: Associate degree or better and five or more years progressive legal administrative experience preferably in the trusts & estate planning practice area. Familiarity with estate planning documents. Proficiency in MS Office Suite including Word, Excel, Outlook, and PowerPoint. Also Adobe Acrobat, Visio, Document Management Systems and comparison software. Notary public certification preferred. Exceptional organization, attention to detail and time management skills Comfortable balancing multiple projects. Excellent interpersonal, verbal, and written communication skills. Ability to communicate with courtesy and diplomacy. Efficiently follow written and verbal instructions. Maintain effective relationships with a diverse group of attorneys, clients, staff and outside contacts with discretion and strict confidentiality. Applicant must be a dependable team player who works collaboratively and cooperatively with others. Exhibits a positive, supportive attitude at all times. Ability to act independently and make decisions within the scope of the positions responsibilities. The final compensation offered to a selected candidate will be determined based on job-related, non-discriminatory factors, including a candidates experience, qualifications, education, external market data, and internal equity considerations. In addition to base salary, employees receive other variable compensation based on their role and individual performance. $70,000 - $100,000.
