Hospice Administrative Assistant
Job DescriptionPRIMARY FUNCTIONThe Administrative Assistant is a skilled secretarial clerk whose job is to support the work of the Branch Director & Administrator/CEO and who is generally responsible for accomplishing patient care clerical procedures.Job Responsibilities To manage, maintain, organize, and determine disposition of all electronic medical files in accordance with policies and procedures, local, state, and federal laws and regulations. To assist in systematic chart audits for compliance. To ensure that hospice forms are readily available and up to date. To enter, interpret, and retrieve information from electronic medical records. Assist in stocking, ordering, and maintaining medical/office supplies. Schedule visits and track/audit field staff frequencies and verify visit status. Communicate with DME to ensure the current DME list is accurate, and order as needed. Prepare for IDG Meetings such as agendas, minutes, orders, and other items needed IDG- Facilitates EMR presentation during IDG, enters any notes, and obtains all signatures on all required paperwork prior to end of IDG day. IDG clean up, file IDG notebooks, fax signed IDG notes to attending doctors. File copies of signed orders in nurse's mailboxes, clean conference room after IDG. File all paperwork in medical charts (both EMR and patient archive). File HIS forms and submit to CMS Coordinate death certificates with Medical Directors Communicates with staff and outside agencies as directed. Reconcile bills and nursing home, medical directors, and DME Invoices Assist clinical employees with any office questions they may have Ensure that the office runs smoothly to ensure efficiency for all clinical and clerical team members Reception coverage such as answering phones, checking faxes, scheduling meetings, keeping up with office calendars, phone lists and birthdays Assist with medical records, human resources, payroll, and intake responsibilities Other duties assigned by the Branch Director, Area CEO/Administrator, and Vice President of Clinical Operations.Qualifications Must be a high school graduate or equivalent Three years prior work experience preferred. Good typing/data entry skills. Computer literate Able to handle multiple tasks and in high paced office setting Excellent communication/telephone skillsREPORTS TOBranch DirectorJob Type: Full-timeSchedule8 hour shift
