Through its work, the Conservancy supports long-term habitat protection, ecological research, restoration initiatives, and carefully managed public engagement programs that allow people to experience and learn from this remarkable landscape.The Tejon Ranch Conservancy seeks a part time Operations Assistant to support the organization’s administrative, operational, communications, and event coordination activities. Working under the direction of the Executive Director, the Operations Assistant will help ensure the efficient day-to-day operation of the Conservancy’s office and programs. This position provides important support to other Conservancy staff, the Board of Directors, volunteers, and visitors while assisting with program logistics, communications, membership coordination, and general administrative functions.DUTIESThe Operations Assistant will provide general administrative support and assist with the daily operations of the organization. Responsibilities include assisting with incoming inquiries related to volunteer opportunities, fundraising activities, community events, educational programs, and public access trips, as well as greeting and assisting visitors to the Conservancy office.The position will help coordinate meetings and appointments, maintain the organizational calendar, and assist with preparation of materials for quarterly Board of Directors meetings and monthly Board committee meetings. The Operations Assistant may assist with preparing meeting agendas, distributing materials, and taking minutes or notes during meetings as needed. The Operations Assistant will support office administration by maintaining digital and hardcopy filing systems, maintaining contact lists, ordering office supplies, managing incoming mail and deliveries, and assisting with general office organization and maintenance. The role may also include coordinating travel arrangements, assisting with expense reporting, and helping prepare correspondence, reports, presentations, and other organizational documents.The position will assist with membership and donor relations by maintaining membership and donor databases, preparing membership communications, processing donations, and supporting email communications such as newsletters, membership campaigns, and event announcements. The Operations Assistant may also assist with social media posting and updating the Conservancy website as needed. The Operations Assistant will support planning and coordination of Conservancy events and public access programs by assisting with event registrations, volunteer coordination, logistics preparation, and communications with participants. This may include helping manage event registration systems, maintaining event calendars, preparing materials for trips or events, and assisting staff with post-event follow-up.The role will also assist with operational logistics related to Conservancy facilities and equipment, including maintaining office equipment, coordinating vendor services when needed, tracking office supply inventories, and assisting with vehicle maintenance and coordination for Conservancy programs and events. The Operations Assistant may will also assist other Conservancy staff with financial administration tasks such as preparing weekly accounts payable documentation for review, helping organize financial records, assisting with grant invoicing and reporting support, and helping maintain compliance documentation for grant programs.POSITION REQUIREMENTSThe Operations Assistant must be an organized, reliable, and detail-oriented individual who works well in a collaborative team environment. The successful candidate will demonstrate strong written, verbal, and interpersonal communication skills and the ability to interact professionally with Conservancy staff, volunteers, Board members, community partners, donors, and members of the public. This position requires strong organizational and time-management skills, including the ability to manage multiple tasks simultaneously and maintain consistent follow-through. The candidate should be comfortable working independently while also collaborating with staff across different Conservancy programs. Applicants should have familiarity with office management procedures and office equipment, and proficiency with computer software such as Microsoft Office 365 (including Word, Excel, PowerPoint, and SharePoint). Experience with email communications platforms, databases, and social media platforms is desirable.Strong attention to detail, problem-solving ability, and excellent organizational skills are essential. Previous experience in administrative support, office management, nonprofit administration, or related fields is preferred.A minimum of a high school diploma is required. Additional education or training in administrative support, nonprofit management, communications, or related fields is considered beneficial.ADDITIONAL INFORMATIONThe Tejon Ranch is approximately 45 miles south of the Conservancy’s office. The office is located in Bakersfield. The successful applicant must have their own transportation to the office. The majority of the position will take place within the office but may involve occasional work on Tejon Ranch itself. Conservancy vehicles are available for travel on the Ranch. The successful applicant must possess a valid and clean California driver’s license and be able to work occasional evenings and weekends. Please be aware that the position may involve supporting visitor experiences on the Ranch in conjunction with other staff and volunteers. These activities may involve driving and hiking on dirt roads through rugged wilderness areas of the Tejon Ranch, including during periods of warmer or cooler temperatures.COMPENSATION AND WEEKLY WORK COMMITMENTCompensation is $17 – $20 per hour, dependent on qualifications. This is a part-time position of approximately 10–20 hours per week. Aside from certain standing meetings (such as weekly staff meetings or scheduled events), the position offers a highly flexible schedule, and most responsibilities can be completed around other professional or personal commitments.
