Summary/ObjectiveThe Office Assistant is responsible for assisting in the coordination of office operations and procedures in order to ensure organizational effectiveness and efficiency. The Office Assistant reports to the Director.Essential FunctionsAssist new families with check in/out proceduresConduct tours and tour follow upsProvide administrative support to the front officeMaintain confidentiality of student's filesAssist Classroom Coordinators if needed.Daily TasksGreet parents and provide a warm welcome for studentsAnswer phones in a positive and professional mannerAssists and accepts responsibility in other daily duties that might be temporary in the event other employees are not availableAdminister MedicationsWeekly TasksUpdate and maintain student's filesEnter new families information in Procare DesktopProcess inquiries, tours, waitlisted and enrolled information in CRMOrganize tour foldersOrder Infant Kits for new parentsAssist with keeping of maintenance requests (depending on campus)Monthly TasksCheck office supply inventory and either order or provide a list to the Director and Assistant DirectorAudit COIs, Medical Screening forms and Student Files and provide parents with expiration notices when necessaryAbilitiesOrganizedProfessionalStrong communication skillsQualifications1 year management experienceSuccessfully pass a background checkServSafe and CPR certifiedPhysical DemandsThe employee is occasionally required to sit; climb or balance; and stoop, kneel, crouch or crawl. The employee must frequently lift and/or move up to 10 pounds and occasionally lift and/or move up to 50 pounds.Position Type/Expected Hours of WorkThis is a full-time position, Monday through Friday and hours vary. Extended hours may be necessary as needed to cover staffing during business hours.
