The Role: As a Onboarding Operations Specialist, you will support investors and internal teams by processing inbound cash and asset transfer requests into self-directed retirement accounts. This role focuses on reviewing transfer documentation, submitting requests to delivering custodians, tracking transfer status, and following up to ensure timely completion.In addition to transfer processing responsibilities, this role provides cross-functional support to the New Accounts Onboarding team by assisting with account maintenance requests as needed to help balance team capacity and ensure timely service delivery.The ideal candidate demonstrates strong organizational skills, attention to detail, and effective written and verbal communication while managing multiple transactions simultaneously.Location: This role requires 2-3 days a week in office in San Francisco, CA.Responsibilities: Review incoming cash and asset transfer paperwork for completeness and accuracy prior to submissionSubmit transfer requests to third-party custodians via approved delivery methods (fax, secure upload, mail, or email when applicable)Track transfer pipelines and follow up with custodians as neededMaintain accurate notes and status updates within internal systemsCommunicate with investors regarding missing documentation or transfer status updatesCollaborate with onboarding and account maintenance teams to resolve transfer-related issuesProvide cross-team support to the New Accounts team by assisting with account maintenance requests as neededAssist with internal operational projects as assigned by managementEssential ResponsibilitiesReview transfer authorization forms and supporting documentation for accuracy and completenessSubmit cash and asset transfer requests to delivering custodiansMonitor transfer queues and aging requestsFollow up with custodians to ensure timely processing of transfersIdentify missing or incorrect documentation and coordinate correctionsProvide status updates to investors and internal teamsMaintain accurate transaction tracking and data entry across systemsResearch transfer delays and discrepanciesCoordinate with onboarding and account maintenance teams as neededSupport the New Accounts team with processing account maintenance requests based on staffing levels and operational prioritiesPerform other duties as assignedRequirements1+ year of experience in financial services, operations support, or transaction processingStrong attention to detail and organizational skillsAbility to manage multiple open requests simultaneouslyStrong written and verbal communication skillsAbility to work independently and collaboratively within a team environmentStrong problem-solving and follow-through skillsComfortable working in a process-driven, ticket-based workflow environmentKnowledge of IRAs or retirement account transfers is a plusProficiency in Microsoft Office (Word, Excel, Outlook)Preferred ExperienceExperience processing retirement account transfers (IRA transfers preferred)Experience working with custodians, trust companies, RIAs, or broker-dealersFamiliarity with transfer authorization documentationExperience reviewing financial paperwork for completeness and accuracyExperience working in queue-based operations environmentsPhysical requirements: operate a computer for 8 hours per day; give and receive detailed information through verbal and written communicationFor residents of San Francisco, CA the annual salary range for this role is $24/hr - $25/hr + annual bonus.
