Position Type: Full Time 565 Consultants is seeking a motivated and detail-oriented Assistant Project Manager to support the planning, coordination, and execution of assigned projects. The ideal candidate will be responsible for all project direction, planning, completion, and financial outcome. In order to succeed in this position, the candidate must be organized and have excellent time management skills. This role is responsible for assisting with overall project oversight, scheduling, contractor and vendor coordination, quality control, contract review, change order management, and client communication.The Assistant Project Manager will serve as a key point of contact for assigned projects and will be expected to represent 565 Consultants with professionalism, responsiveness, and a commitment to service excellence. This position requires strong communication skills, sound judgment, and the ability to manage multiple priorities while working closely with owners, architects, contractors, vendors, and internal leadership.Key ResponsibilitiesThe Assistant Project Manager will assist with the overall management of assigned projects from planning through completion. Responsibilities include monitoring project progress, supporting project schedules, coordinating work performance, reviewing quality standards, and helping ensure effective communication between all project stakeholders.This position will be responsible for coordinating with contractors, vendors, manufacturers’ representatives, architects, owners, and user groups to ensure project requirements are clearly understood and properly executed. The Assistant Project Manager will help organize and manage project meetings, document discussions, track action items, and follow up with responsible parties to support timely project completion.The Assistant Project Manager will review project contracts, specifications, proposals, schedules, and related project documents. This role will also assist with reviewing and managing change orders, identifying potential project issues, escalating concerns when appropriate, and supporting the resolution of project challenges.The selected individual will maintain strong relationships with existing clients and assist in developing new client relationships throughout the Philadelphia region and nationally. The Assistant Project Manager will be expected to uphold and promote the service-focused culture and professional standards that 565 Consultants is known for.Primary Duties IncludeAssist with day-to-day project oversight and coordination.Support project scheduling, tracking, and documentation.Coordinate communication among owners, architects, contractors, vendors, and internal team members.Review contracts, specifications, proposals, and project documentation.Assist with change order review, tracking, and management.Monitor contractor and vendor performance.Support quality control and ensure work aligns with project expectations.Schedule, attend, and manage project meetings.Prepare meeting notes, action item lists, updates, and project reports.Serve as a client-facing contact for assigned projects.Maintain strong working relationships with clients, contractors, vendors, and project stakeholders.Assist in cultivating new business relationships in the region and nationally.Promote the service excellence standards and professional reputation of 565 Consultants.Identify project risks, delays, or concerns and communicate them to leadership.Work independently while keeping management informed of project status and needs.Other duties as assignedQualificationsThe ideal candidate will be independent, self-motivated, organized, and capable of managing multiple responsibilities at once.
