Practice Operations Manager

We are seeking a dynamic and highly organized Practice Operations Manager to lead the daily functions and strategic initiatives of a busy healthcare practice. This pivotal role combines expertise in medical office management, financial oversight, and team supervision to ensure seamless operations, exceptional patient care, and compliance with industry standards. Duties Oversee all aspects of practice operations, including clinic management, office workflows, and administrative support to ensure smooth daily functions. You will own Schedule & Production Performance, Recall & Reactivation Systems, KPI Tracking & Reporting, SOP & Training Systems and Team Accountability Manage fiscal responsibilities such as budgeting, financial management, billing processes, and resource allocation to optimize profitability. Supervise staff including medical administrative support personnel, nursing staff, and other team members; provide coaching, performance evaluations, and HR support. Ensure compliance with HIPAA regulations, JCAHO standards, and other healthcare industry requirements related to medical records, patient privacy, and safety protocols. Utilize EMR (Electronic Medical Records) systems to maintain accurate patient data and streamline clinical workflows. Coordinate with clinical teams on medical management initiatives such as utilization management and acute care protocols to enhance patient outcomes. Implement quality improvement strategies aligned with healthcare regulations and best practices for clinic experience enhancement. Monitor clinic performance metrics and prepare reports to inform leadership decisions on operational efficiency and patient satisfaction. Requirements Proven experience in medical office management or healthcare operations with supervisory responsibilities. Strong knowledge of fiscal management including budgeting, financial analysis, and resource planning. Hands-on experience with EMR/EHR systems such as Epic, eClinicalWorks, Dentrix or similar platforms. Familiarity with HIPAA compliance standards, medical terminology, medical records management, and healthcare regulations like JCAHO standards. Excellent leadership skills with the ability to supervise diverse teams in a fast-paced environment. Background in nursing or clinical practice management is highly desirable; clinic, eye clinic or dental office experience is a plus. Demonstrated ability to manage human resources functions including hiring, training, performance reviews and conflict resolution. Strong organizational skills with attention to detail in managing multiple priorities simultaneously.
