We operate primarily in Fairfield and Westchester counties and pride ourselves on exceptional quality, client service, and operational excellence.Position summaryThe Project Coordinator keeps Fletcher's projects on track from first proposal to final invoice. They are a force multiplier for our project managers (PMs) — giving PMs more time in the field, giving our clients a noticeably better experience at every touchpoint, and keeping projects moving on schedule.The Project Coordinator works across the full life of a project, from shaping budgets and proposals at the front end through making sure we deliver an amazing experience to our client at the end. They spend most of their time at our Stamford, CT office, with occasional time in the field or running tasks that move projects forward.This is a great fit for someone who is detail-obsessed, quick on their feet, and energized by an environment with evolving systems. Construction experience is a plus, but at a minimum the right person can think through how the pieces of a construction project fit together. The right person also naturally reaches for technology, including AI tools, to work faster and better.ResponsibilitiesBudgets and proposalsPull together project budgets and proposals from inputs that vary by project — architectural plans, site walkthroughs, meeting notes, and bids and quotes from subcontractors and consultantsCompare pricing and scope across competing subcontractor bids to allow our clients and team to make confident decisionsProduce clean, well-organized proposal documents that are accurate and reflect well on the Fletcher brandSubmittal documentationPut together submittal documents that combine client input with proposals from subcontractors and consultants, packaged for client review and approvalStay on top of outstanding submittals and follow up so projects don't lose momentumInvoicing, permitting, and project trackingSupport invoicing, including assembling backup documentationAssist with permitting for active projectsTrack the status of everything in flight — budgets, bids, submittals, invoices, permits — and follow up so nothing falls through the cracksQualificationsRequiredStrong skills in Excel, PowerPoint, and Word, plus comfort picking up new internal project tracking toolsExcellent attention to detailTakes real pride in the quality of your work — you don't ship something with your name on it unless it's rightStrong critical thinking — you ask the right questions, push back when something doesn't add up, and flag issues earlyComfortable in a fast-paced environment with multiple active projects, shifting priorities, and evolving systemsAlready uses AI tools day-to-day and looks for new ways to apply themAble to think through how the pieces of a construction project fit together at a high levelStrong written communication and a professional, composed presence with clients, vendors, and the teamSelf-directed; takes general direction and comes back with clean, organized workBased in or willing to relocate to the area; on-site at our Stamford, CT officePreferredBackground in residential construction, property management, architecture, or a related fieldFamiliarity with construction documentation (proposals, submittals, RFIs, change orders, permits) and tools such as Procore, Buildertrend, or similarPrior experience as a project coordinator, project assistant, or estimatorComfort building lightweight automations or workflows (e.g., AI agents) to speed up repetitive workCompensation and start dateCompetitive base salary plus performance-based compensation.
