You will support donor outreach, coordinate events, manage scheduling, and handle the day-to-day administrative work that keeps fundraising & programming efforts running efficiently.This is not a passive role. It requires someone who can stay organized under pressure, manage multiple moving pieces, and take ownership of execution while supporting revenue-generating & programming initiatives.If you are someone who thrives on structure, accountability, and getting things done — this is your opportunity.Salary Range: $55,000 - $65,000Key ResponsibilitiesScheduling & Administrative CoordinationManage calendars, scheduling, and logistics for donor meetings, internal meetings, partner meetings, & programming eventsCoordinate communication between internal teams, leadership, and external partnersTrack action items, follow-ups, and deadlines to ensure nothing falls through the cracksPrepare materials for meetings, donor conversations, and programming eventsHandle day-to-day administrative tasks that support fundraising operationsDonor Outreach & Pipeline SupportResearch and identify prospective donors (individuals, corporations, foundations)Support outreach efforts including calls, emails, and follow-upsMaintain and update donor pipeline activity within CRMEnsure consistent follow-up and communication with donors and prospectsAssist in moving prospects through the pipeline from initial contact to engagementFundraising Events ExecutionCoordinate logistics for fundraising events, including:Donor experiences and private gatheringsManage guest lists, scheduling, confirmations, and on-site coordinationSupport ticket sales, sponsorship coordination, and attendee experienceEnsure events are organized, on time, and executed at a high levelAssist with post-event follow-up and donor engagementPrepare and distribute Donors donation receipts in a timely and accurate manner when requestedProgramming Events ExecutionServe as the primary liaison with Finance and Logistics teams to coordinate and oversee all orders and donation processesCoordinate and communicate with schools and nonprofit organizations to plan and execute events effectivelyAdminister food and beverage contracts, including vendor coordination, communication management, and contract complianceCoordinate with the Web Development team to provide event photos for website updates and content uploadsDraft Memorandums of Understanding (MOUs) and distribute documents for review and signature through PandaDocPartnership & Sponsorship SupportAssist in identifying and coordinating corporate partnerships & sponsorsPrepare outreach materials and track partnership deliverablesSupport communication with partners to ensure alignment and executionHelp manage relationships and ensure commitments are fulfilledOperations & CRM ManagementMaintain accurate and organized donor data in CRM systemsTrack outreach activity, engagement, and fundraising progressSupport reporting on key metrics and pipeline activityHelp create structure and consistency across fundraising processesSales & Engagement ExecutionBring a sales-oriented mindset to fundraising effortsSupport outbound efforts to drive event attendance and donor participationAssist in preparing materials that drive engagement and conversionRepresent the Foundation professionally coordination, fundraising, or sales supportStrong organizational and time management skillsProven ability to manage scheduling, logistics, and multiple prioritiesComfortable handling administrative work while supporting revenue-generating effortsStrong communication and follow-up skillsDetail-oriented with a high level of accountabilityExperience with CRM systems preferred (HubSpot or
