This role serves as the primary point of contact for day-to-day office operations, ensuring the workplace is organized, efficient, and welcoming for employees, guests, and candidates.Reporting to the VP of HR, this position plays a key role in shaping the in-office experience by managing operations, coordinating events, and supporting workplace initiatives. The ideal candidate is highly organized, service-oriented, and thrives in a fast-paced, growing environment where no two days are the same.Essential DutiesOffice OperationsOwn daily office operations, ensuring a clean, organized, and fully functional workspaceManage inventory of office supplies, kitchen stock, and snacks; proactively reorder as neededCoordinate mail and package distribution, including tracking and notificationsPartner with building management to resolve maintenance issues and submit service requestsMaintain shared spaces including kitchen, conference rooms, and common areasWorkplace Experience & EventsLead coordination of weekly office lunches, including vendor selection, setup, and cleanupSupport planning and execution of employee events, meetings, and onsite gatheringsEnhance the office environment through workspace organization, décor, and experience-driven improvementsEnsure conference rooms and meeting spaces are prepared and functionalVendor & Project CoordinationCoordinate with vendors for services such as catering, office supplies, furniture, and maintenanceSupport workplace projects including office expansions, moves, and layout improvementsAssist in executing workplace initiatives and special projects led by HR or leadershipVisitor ExperienceServe as the first point of contact for guests, candidates, and visitorsManage visitor check-in, badges, and overall onsite experiencePartner with internal teams to ensure a smooth, professional, and welcoming visitAdditional ResponsibilitiesSupport new hire workspace setup and onboarding logisticsAssist with tracking office-related expenses or budgets as neededContribute to ongoing workplace improvements and employee experience initiativesOther duties as assignedEducation/Training/Experience1+ years of experience in office administration, workplace operations, or service industry rolesStrong organizational and time management skillsAbility to manage multiple tasks and respond to day-to-day office needsExcellent communication and interpersonal skillsProficiency in Microsoft Office SuiteNice To HaveExperience supporting office events or workplace programsExperience coordinating with vendors or building managementExposure to office moves, expansions, or workplace projectsExperience in a fast-paced or growing company environment
