Clerical Support
Summary
The Clerical Support position ensures a well-functioning office environment through the provision of high-quality administrative and clerical services. The role requires strong organizational, interpersonal, and communication skills to support smooth day-to-day operations within Library Services.
Essential Duties
Process online library card registrations and verify submitted data accuracy
Maintain files of registered library cardholders
Answer telephone calls, direct inquiries, and take messages
Receive, sort, and distribute incoming mail and packages; prepare outgoing mail
Maintain office equipment, including scheduling repairs and performing troubleshooting and preventive maintenance
Fulfill supply requests from member libraries
Process Copy Center requests from staff and member libraries
Perform administrative filing and maintain the office library collection
Process requests for office collection materials
Perform other duties, tasks, and special projects as assigned
Qualifications
High School diploma or equivalent
Preferred Skills & Experience
Strong communication, interpersonal, and organizational skills
Proficiency in Microsoft Office Suite
Prior office experience preferred
Computer Skills
Ability to learn and use proprietary databases
Working knowledge of Microsoft Office (Word, Excel, Outlook)
Physical Demands
While performing the duties of this position, the employee is frequently required to stand, walk, sit, bend at the waist, and talk or hear. Occasionally, the employee will need to reach or work with arms above shoulder height, kneel, stoop, crouch or squat, crawl, climb stairs, twist or rotate at the waist while working; push, lift, or carry items.
Work Environment
Office environment
35 hours per week
8:30 AM - 4:30 PM, Monday through Friday
Occasional evenings and weekends may be required
Other Requirements
Must be able to travel between libraries and throughout Pennsylvania as required
