Job Description Purchasing Coordinator / Purchasing SpecialistJob SummaryThe Purchasing role is responsible for sourcing, ordering, and tracking materials, equipment, and supplies needed for job sites and warehouse operations. This position works closely with vendors, job managers, technicians, and accounting to ensure accurate purchasing, timely deliveries, and proper documentation.Ensure all your application information is up to date and in order before applying for this opportunity.Key ResponsibilitiesLocate, source, and order job materials, warehouse supplies, and equipmentCommunicate regularly with vendors, job managers, and field technicians regarding material needs and order statusCoordinate with suppliers to schedule deliveries and resolve shipping errors or discrepanciesObtain approval from job managers for large or high-value vendor quotes prior to placing ordersIssue purchase orders (POs) for direct purchases and purchases made by owners using company credit cardsReceive orders from vendors and update purchase orders accordinglyTrack returned purchases and ensure credits or refunds are receivedMonitor and document purchases made via company credit cards and submit transactions to Accounts Payable for entry into the accounting systemMaintain accurate inventory recordsFile and organize all purchasing documentation, including purchase orders and pick slipsRequest and maintain Safety Data Sheets (SDS) from vendors for all applicable purchasesOther duties as assignedQualifications & SkillsExcellent negotiation skillsStrong analytical abilitiesSound judgment and decision-making skillsStrong written and verbal communication skillsAbility to communicate professionally with vendors, customers, and internal staff via phone and emailStrong interpersonal skills with the ability to work cross-functionallyExcellent organizational and record-keeping skillsKnowledge of purchasing and procurement softwareWorking knowledge of Microsoft Office 365 applicationsUnderstanding of mechanical parts recommendedCompany DescriptionWait Mechanical, Inc. is a full service mechanical contractor. xaygatp Please visit our website at DescriptionWait Mechanical, Inc. is a full service mechanical contractor.
