Legal Receptionist
About the RoleWe are looking for a Legal Receptionist for our firm's front office. You'll maintain a welcoming and professional environment for clients and visitors while providing overflow administrative and legal support to our attorney and paralegal team.This role does not own specific cases or legal tasks it is the connective tissue that keeps our office running smoothly every single day. You'll work under the supervision of the Director of Business Operations and the Case Manager.What You'll DoFront Desk & Office OperationsServe as the physical presence at the front desk during all business hoursMonitor building entry and manage guest accessGreet clients and visitors professionally; confirm identity and direct guests to the appropriate team memberOpen and close the office daily, managing lights and doors appropriatelySort, date-stamp, and distribute incoming mail and packages; coordinate outgoing mailMaintain and coordinate conference room calendars; ensure rooms are clean and ready for all meetingsManage office supplies, coffee, tea, and hospitality itemsMaintain the copy room, copier, and postage machineCoordinate shredding bin services with vendorMaintain and update the firm phone extension listSupport firm events, meetings, and functions as requestedAssist with answering phones as neededLegal SupportScan, save, and organize documents in Filevine, including initiating pleadingsPrepare basic document shells or form packets as directedAssemble trial notebooks, exhibit binders, and hearing materialsUpdate case management fields, checklists, and file organization in Filevine as directedOpen and close case files in the case management system as directedAssist paralegals with scheduling hearings, mediations, and client meetingsAssist with calendar management as directedOrganize and assemble financial document packets (not drafting or analyzing)Maintain strict confidentiality regarding all client information and case matters at all times?????????????????????????????????????????What We're Looking For? Prior experience in a legal or professional office environment strongly preferred? Proficiency in Filevine or other legal case management software preferred; willingness to learn required? Proficiency in Microsoft Office Suite (Word, Outlook, Excel) required? Familiarity with the Colorado Courts E-Filing System is a plus? Exceptional organizational skills and attention to detail? Strong written and verbal communication skills? Ability to maintain strict confidentiality at all times?
