This role is hands-on, requiring strong project management skills, technological proficiency, and the ability to collaborate effectively across teams.General SummaryThe Project Manager, Marketing & Events, is a key player in the daily operations and execution of Etherio Signature Events, our internal promotional events, and conferences arm.This role requires deep involvement in every project planning phase, ensuring that strategies are effectively implemented, and that marketing and event objectives are seamlessly aligned.The ideal candidate thrives in a hands-on environment, managing multiple tasks with precision and driving projects to successful completion. A proven track record in project management, proficiency with project management software and marketing tools, and strong written communication and editing skills are essential. Collaboration across cross-functional teams is also critical for success in this role.Essential FunctionsOperational ManagementOversee the daily management and operations of the company’s signature conferences, ensuring all departments work efficiently and effectively. Develop and implement operational strategies that align with marketing and event objectives. Project Planning and CoordinationDefine project scope, objectives, goals, timelines, resources, and deliverables. Create and maintain project schedules to ensure timely execution. Identify and coordinate the necessary personnel and resources for project success. Use project management software to track progress and manage tasks in detail. Team Leadership and CoordinationLead and coordinate cross-functional teams involved in event planning and marketing efforts. This includes close collaboration with internal teams (such as marketing, association management, and technology) and external stakeholders and vendors. Foster a collaborative environment that encourages teamwork and idea-sharing. Stakeholder CommunicationsProvide regular updates on project status, proactively addressing any issues and implementing corrective actions as needed. Generate and share regular reports on operational performance, project status, and lessons learned for future projects. Event Planning and ManagementWork with the event planner to coordinate and manage various events (such as conferences, seminars, and networking sessions), overseeing all aspects of event execution. Marketing AssistanceWhere possible, assist with content, layout, and deployment of email communicationsAssist with edits to existing documents. Create posts and assist in managing social media platforms. Assist in executing on the marketing strategy developed in collaboration with the Marketing team. Performance Monitoring and ReportingMonitor and analyze key performance indicators (KPIs) to ensure goals and objectives are met. Prepare and present regular reports on operational performance to senior management. Financial ManagementOversee the financial aspects of marketing campaigns, events, and operations to ensure fiscal responsibility and accountability. Develop budgets, track expenses, and manage financial reporting. Preferred QualificationsBachelor’s degree, preferably in Business Administration, Marketing, or a related field. 4-6 years of experience in marketing, project, and event operations management, preferably in the events planning or association management industry. Hands-on experience with project management software (such as Asana, Trello, or similar tools). Proficiency in marketing tools such as Mailchimp, HubSpot, Canva, etc. Excellent leadership and team management abilities. Minimum Requirements3-5 years of experience in marketing, project, and event operations management, preferably in the events planning or association management industry. Proven analytical skills with the ability to interpret data and make informed decisions. Strong project management skills with the ability to plan, execute, and oversee projects from inception to completion. Exceptional written communication and editing skills, with the ability to interact effectively with stakeholders. Strong organizational and time management skills, with a meticulous attention to detail and a commitment to quality assurance. Ability to collaborate with cross-functional teams and thrive in a fast-paced environment. WORKPLACE LOCATION REQUIREMENTSHybrid work environment with a combination of remote and in-office presence with the possibility of being onsite at client and event locations. Travel RequirementsAbility to travel approximately 20%. Scheduling RequirementsFlexibility in scheduling, including working evenings and weekends as needed to meet client, event, or company needs.
