This role will beonsite at our Buffalo Grove, IL office.Position PurposeThe primary purpose of this position is to oversee day-to-day officeactivities. This includes but is not limited to answering incoming callsto MNJs main phone, greeting visitors and escorting them through thebuilding, and performing general administrative support to theaccounting and finance departments.Every effort has been made to identify the essential functions of thisposition. The omission of specificduties does not exclude them from the position if the work is similar,related, or is related to an essential function of the position.Position Responsibilities Answer incoming calls and transfer calls to appropriate departmentand/or individual. Greet office visitors and notify the appropriate person. Maintain office security by following safety procedures andcontrolling access via the reception desk. Order office and kitchen supplies and keep inventory of stock. Receive, sort and deliver incoming mail. Process postage and sendoutgoing mail. Clean and organize kitchen before leaving each day. This includeswiping down counters/tables, turning off coffee machines, runningdishwasher, turning off lights in kitchen, etc. Mail out AP checks with appropriate documents on a daily basis. Reconcile vendor invoices on a weekly basis, but no less thanmonthly basis. Give reconciliation findings to appropriate manager. Complete New Vendor Set-Up requests. Assist in uploading, tracking, and maintaining Customer SalesExemption Certificates. Ensure all certificates are kept current. Assist Accounting with projects as needed including CashApplication, Invoice processing, managing accounting boxes, etc. Assist with different departmental projects on an as needed basis. Support the marketing team with all internal events. Other duties as assigned.Position Requirements High school diploma or equivalent required. 1 year of office experience. Must be comfortable and efficient using computer systems. Proficiency in Microsoft Office Suite. Strong attention to detail. Must have pleasant demeanor when greeting guests and responding toinquiries. Must be detail oriented and possess excellent organizational skills. Excellent verbal and written communication skills. Must be able to read, write, speak and understand the Englishlanguage.
