About Our CompanySpec Construction specializes in public works projects, particularly prevailing wage construction within the education sector. We are seeking an individual to support our Project Team and act as a liaison between subcontractors, vendors, and internal operations staff to ensure seamless coordination throughout all phases of public works projects.Job OverviewThe Project Assistant supports and coordinates construction project management activities to help meet project requirements, schedules, and organizational objectives. This role assists with project documentation, communication, scheduling, compliance tracking, and overall project coordination throughout the project lifecycle.The ideal candidate will possess knowledge of construction processes, organizational procedures, and collaboration tools necessary to support successful project execution. The Project Assistant will help monitor project milestones, maintain accurate documentation, assist with issue resolution, and support project teams with administrative and operational tasks.The Project Assistant candidate should have general knowledge of the construction process, from scope development through project closeout, and the ability to effectively manage the responsibilities outlined below.ResponsibilitiesAssist the Project Team in planning and coordinating project activities to help ensure projects are completed within schedule, scope, and budget. Maintain organized physical and digital project files to ensure all documentation is accurate, current, and easily accessible. Support the Project Team with administrative duties, including scheduling meetings, preparing reports, creating meeting agendas, and managing project correspondence. Assist with communication and coordination between internal teams, subcontractors, vendors, inspectors, and clients throughout the project lifecycle. Maintain and update project documentation, including contracts, change orders, RFIs, submittals, progress reports, and compliance records. Provide administrative support to the Project Team with procurement activities, equipment coordination, material orders, scheduling, and other project-related tasks. Assist with collecting and tracking subcontractor submittals to ensure timely and accurate document completion. Help coordinate project closeout activities and compile closeout packages to ensure all required documents are completed and submitted on time. Track project milestones, pending items, and follow-up tasks to support overall project progress. Perform other related duties as assigned. Qualifications & ExperienceHigh school diploma or GED required. Minimum 2 years of experience in project support, coordination, planning, or reporting, preferably within the construction industry. Proficiency in Microsoft Office Suite with the ability to quickly learn new software applications and project management tools. Strong written and verbal communication skills with the ability to work effectively with internal teams and external stakeholders. Excellent organizational, multitasking, and time management skills with strong attention to detail. General understanding of construction documentation and project coordination processes. Ability to work independently while maintaining a positive, professional, and team-oriented attitude. Commitment to company values, confidentiality, quality standards, and workplace safety. Physical RequirementsMust be able to access and navigate all areas of construction sites in various weather conditions. Must be able to lift up to 40 pounds at times.
