Job Title: Office Assistant📍 Chattanooga, TN (Onsite)📅 12-Month Contract-to-HireWe are seeking a highly organized and professional Office Assistant to support daily office operations in our Chattanooga office. This role is ideal for an administrative professional who enjoys managing multiple priorities, supporting leadership teams, coordinating meetings and events, and ensuring the office operates efficiently on a day-to-day basis.The successful candidate will be dependable, responsive, detail-oriented, and committed to maintaining a professional office environment while working onsite during regular business hours.ResponsibilitiesProvide administrative support to the Office Manager and office leadership teamManage calendars, appointments, meetings, and event coordinationPlan and facilitate on-site and off-site meetings, trainings, and office eventsCoordinate travel arrangements and prepare itinerariesPrepare correspondence, reports, presentations, meeting agendas, and meeting minutesSupport Project Managers with proposal development, purchase orders, project schedules, budget tracking, and project-related administrative tasksMaintain the reception area, greet visitors, and direct inquiries appropriatelyCoordinate conference room scheduling, catering, and meeting logisticsProcess accounts payable invoices and assist with office budget trackingManage office correspondence, mail, packages, and deliveriesCoordinate facility requests, office maintenance, and vendor relationshipsMaintain office supplies, inventory, kitchenette, furniture, and equipmentAssist with office security administration, including badges and keysSupport onboarding and offboarding activities in partnership with management and HRMaintain seating charts and organizational chartsPerform other administrative and operational duties as assignedQualificationsHigh School Diploma or GED requiredMinimum 4 years of office administration, clerical, or related experienceAdvanced proficiency in Microsoft Word, Excel, and PowerPointStrong organizational, prioritization, and time management skillsExcellent written and verbal communication skillsAbility to work independently while maintaining accuracy and reliabilityProfessional communication skills when interacting with employees, clients, vendors, and business partnersStrong attention to detail and problem-solving abilitiesAbility to maintain confidentiality and exercise discretionPunctual, dependable, and team-orientedIf you're an experienced administrative professional looking for a long-term opportunity, we'd love to hear from you.
