Executive Assistant to CEO & Marketing Coordinator

Renowned for its modular designs, creativity, and commitment to quality, Eventstar Structures delivers customized spaces for clients across the United States.Position OverviewWe are seeking a highly organized, proactive, and detail-oriented Executive Assistant to support the CEO in both executive operations and marketing initiatives. This role is ideal for someone who thrives in a fast-paced, entrepreneurial environment, can manage multiple priorities, and possesses strong communication, organizational, and digital marketing skills.The ideal candidate is resourceful, adaptable, professional, and comfortable handling both strategic coordination and day-to-day execution.Key ResponsibilitiesExecutive & Administrative Support • Manage the CEO’s calendar, meetings, travel, and daily priorities. • Coordinate travel arrangements, itineraries, and last-minute scheduling changes. • Provide light tech support for meetings, devices, emails, and digital tools. • Track invoices, approvals, receipts, contracts, and vendor documentation. • Liaise with internal teams, legal counsel, accountants, vendors, and service providers. • Assist with occasional personal administrative tasks and special projects. • Handle confidential and sensitive information with discretion and professionalism. • Help manage projects, timelines, and follow-ups to ensure priorities stay on track.Marketing & Communications • Assist with planning and executing marketing campaigns and social media initiatives. • Schedule and manage content across platforms including Instagram, LinkedIn, and Facebook. • Support content creation, proofreading, presentations, and email marketing efforts. • Coordinate with creatives, agencies, photographers, and vendors to keep projects moving efficiently. • Conduct market research and monitor basic campaign performance metrics. • Assist with event coordination, sponsorships, partnerships, and company promotions. • Maintain brand consistency across communications and marketing materials.Qualifications • 3+ years of experience in an Executive Assistant, or similar support role. • 2+ years of experience in marketing, social media management, communications, or related fields. • Strong written and verbal communication skills with exceptional attention to detail. • Highly organized with the ability to multitask, prioritize, and adapt quickly in a fast-paced environment. • Professional demeanor with strong problem-solving and decision-making abilities. • Ability to work independently while managing completing priorities and deadlines. • High level of discretion when handling confidential information. • Proficiency in Microsoft Office Suite and Google Workspace. • Familiarity with Canva, Mailchimp, Meta Business Suite, LinkedIn, and social scheduling tools preferred. • Experience coordinating vendors, events, or creative projects is a plus. • Bilingual English/Spanish is a plus.Preferred SkillsExecutive support, calendar management, travel coordination, project coordination, administrative support, vendor management, social media management, content creation, email marketing, LinkedIn marketing, marketing coordination, event coordination, Microsoft Office, Google Workspace, Canva, Mailchimp, Meta Business Suite, presentations, communication, organization.
