Intake Coordinator

Key ResponsibilitiesIntake & Patient CoordinationServe as the primary contact for new patient inquiries via phone, email, and online submissionsCollect and document patient demographics, clinical needs, and referral informationGuide patients and families through available services (speech, therapy, ABA) and next stepsSchedule initial evaluations and coordinate provider assignments based on patient needs Insurance & EligibilityVerify insurance benefits and eligibility for servicesCommunicate coverage details, authorizations, and any patient financial responsibilityObtain and track required referrals and authorizations as needed Administrative SupportMaintain accurate and timely documentation in the EMR system (e.g., Athenahealth EMR or equivalent)Ensure all intake forms, consents, and documentation are completed prior to first appointmentManage intake queues and follow up on incomplete or pending itemsSupport front office operations as needed, including answering phones and assisting with general administrative tasks Coordination & CommunicationCollaborate with clinical and operations teams to ensure timely patient placementCommunicate scheduling updates, delays, or barriers to appropriate stakeholdersProvide clear, professional communication to patients and families throughout the intake process Process & ComplianceFollow organizational policies and workflows related to intake, documentation, and patient privacyEnsure compliance with HIPAA and payer requirementsIdentify opportunities to improve intake efficiency and patient experienceRequirementsQualificationsRequiredHigh school diploma or equivalent1+ year of administrative, customer service, or healthcare-related experienceStrong organizational and multitasking skillsExcellent communication and customer service skillsAbility to work in a fast-paced, team-oriented environment PreferredExperience in healthcare intake, scheduling, or front office operationsFamiliarity with behavioral health, speech therapy, or ABA servicesExperience with EMR systems (e.g., Athenahealth EMR)Insurance verification and authorization experience Core CompetenciesAttention to detail and accuracyStrong follow-through and accountabilityAbility to prioritize and manage multiple tasksPatient-focused mindset with a high level of professionalismProblem-solving and adaptabilityWork EnvironmentOffice-based setting with frequent phone and computer useInteraction with patients, families, providers, and referral sourcesMay require occasional travel between locations (if applicable)Salary Description
