Job Summary Under the direct supervision of the C.I.C. Team Lead, this position is responsible for managing data-related activities and overseeing billing processes within the Community Intervention Center programs. The role ensures the quality, accuracy, and integrity of program data and the efficiency of billing operations, as well as supports data duties in all shelter and housing programs. Expectation: Analyze data effectively by maintaining a high degree of data integrity. Structure an organized database conducive to practical data analysis. Expectation: The database is well-organized, making retrieval and analysis straightforward. Confirm overall data quality and reliability regularly. Expectation: Consistently provide reliable and accurate data to support program decisions. Oversee and manage the billing process, including invoicing, tracking payments, and following up on outstanding bills. Expectation: Ensure timely and accurate billing to all funding sources, including Title XIX. Maintain contracts, ensuring they are up-to-date and compliant with regulations. Expectation: Contracts are current, clearly documented, and accessible. Manage purchase ordering processes to ensure efficient and cost-effective procurement. Expectation: Purchase orders are accurate and processed promptly. The performance of the following will ensure compliance with the essential duties, responsibilities and expectations necessary to fulfill the above: Complete monthly data reports to be sent to all stakeholders and partner agencies. Complete monthly billing to all funding sources and provider pays claims. Daily upkeep of PASI, JOLTS and all of Pivot data systems. Attend required staff meetings. Willingness to learn and use new computer software programs. Maintain positive professional relationships with OJA, OCJB, Law Enforcement Agencies, School employees, and others pertinent to all Pivot programs. Other duties as assigned. EDUCATION and/or EXPERIENCE To perform in this position successfully, an individual must have a high school diploma or equivalent and a minimum of one-year paid experience with medical records in the mental health field. LANGUAGE SKILLS Ability to read, analyze and interpret general periodicals, professional journals and government regulations. Ability to write reports, business correspondence and assist with agency policy and procedure and program manual development. Ability to effectively present information and respond to questions from groups of managers, clients, the board of trustees and the general public. MATHEMATICAL SKILLS: Ability to add, subtract, multiply and divide in all units of measure, using whole numbers, common fractions and decimals. Ability to compute percentages, rates, averages and the ability to interpret graphs and statistical data. REASONING ABILITY: Ability to define problems, collect data, establish facts and draw valid and accurate conclusions. OTHER QUALIFICATIONS Ability to maintain positive working relationships with co-workers and contract service providers. Ability to recommend and support changes necessary to improve program. Ability to use MS Word, EXCEL and JOLTS. Valid I9 Form. Three- letters of reference. Compassionate and tolerant of a wide variety of people. CERTIFICATES, LICENSES and/or REGISTRATIONS Possession of a valid drivers license. TRAINING: Complete understanding of all agency programs and services, and any training needed as determined by supervisor
