The Project Controls team provides administrative support on various functions of the Project Management lifecycle including billing, permitting, close out and production tracking. This position will be a subject matter expert of billing and close out processes within the department ensuring quality, efficiency and standardization. The ideal candidate will have extensive administrative knowledge and experience, possess a high level of attention to detail with a strong work ethic and ALL IN attitude to achieve results.ROLES AND RESPONSIBILITIES:Provides high-level administrative support within the Project operations team, including but not limited to, reporting, billing, project closeout, purchase orders, permitting, etc.Acts as the key seat to the Project Controls Manager; leads by example and can train, coach, and mentor Project Coordinators within the teamSubject Matter Expert of project billing processes and analytics; is forward thinking and has full understanding of billing data including revenue assuranceHighly accountable to complete billing milestones on a consistent basis; reviews aging reports and drives solutions proactivelyPerforms project closeout tasks including final billing true up, inventory allocations, partners invoice reconciliation, release of liens, etc.Collect, analyze, and report on various items within multiple customer systemsHigh level of professionalism to communicate directly with customer contacts on aged receivables and/or change order discussionsAbility to review and understand construction drawings and specificationsKnowledge of regulations driven by local and state municipalities (public safety, traffic control, right of ways, etc.)Strong communication and collaboration skills; problem solves at a high-level for internal stakeholders, subcontractors, vendors, customers, operations managers, etc.Highly interdependent with operations teams and leaders; provides regular reporting on various items including close out status, invoicing results, production trends, etc.Fully understands and adheres to department standards and processes; trains and drives accountability throughout the team to follow standardsPerforms other position duties when requestedSUCCESS FACTORS:A strong belief in ZERO- Being Safe 100% of the time is the expectationAlignment with company mission, vision, and valuesStrong work ethic with an attitudeStrong team player with the ability to adapt to diverse team membersAbility to perform in a fast-paced work environmentA high level of time management, accountability, and prioritization skillsSelf-motivated, goal- oriented, and driven to accomplish department goalsAbility to be organized, problem solve, and be solution orientedStrong ability to influence desired outcomes by master relationship buildingStrong communication and collaboration skillsStrong data analytics skills; advanced in Microsoft ExcelProficient with Microsoft OfficeWORK ENVIRONMENT:This position operates out of a temperature-controlled office environmentThis role routinely uses standard office equipment such as laptop computers, copy/fax, and smartphonesEXPERIENCE AND EDUCATION:3+ years of high-level administrative experience supporting project management teams required1+ year of invoicing, finance, accounting experience requiredPrevious experience supporting construction, engineering, and/or procurement teams preferredHigh School diploma or equivalent requiredThe starting pay for this position is $25.00 per hour and may vary based on the candidate's skills, experience, and qualifications.This role will be hired and have a targeted start in April 2026.ADB Companies, LLC is an equal opportunity employer.
