Job Overview
We are seeking an energetic and detail-oriented Administrative Specialist to join our team. In this vital role, you will provide comprehensive administrative support to ensure smooth daily operations across our organization. Your proactive approach and organizational skills will help us maintain efficient office management, excellent customer service, and effective communication channels.
Duties
Manage day to day operations, including greeting visitors and handling virtual multi-line phone systems with professionalism and courtesy
Perform data entry, filing, and document proofreading to ensure accuracy and organization of records
Coordinate calendar management and schedule appointments for staff members and external partners
Support bookkeeping tasks using QuickBooks for financial record-keeping and expense tracking
Provide exceptional customer support via phone, email, and in person to foster positive relationships with community members and partners
Oversee office supplies inventory, order necessary materials, and maintain a tidy work environment
Assist with special projects related to community outreach, event planning, or internal communications
Qualifications
Proven experience in office management or administrative roles with strong clerical skills
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications
Excellent organizational skills with the ability to prioritize tasks effectively
Strong computer literacy including data entry, typing speed, and familiarity with office equipment such as multi-line phones
Bilingual abilities are highly preferred to support diverse community engagement
Demonstrated customer service excellence with proper phone etiquette and professional demeanor
Experience with QuickBooks or bookkeeping is a plus
Personal assistant or medical/dental receptionist experience is beneficial but not required
Ability to multitask efficiently while maintaining attention to detail in a fast-paced environment

Job Types: Full-time, Part-time
Pay: $15.00 per hour
Expected hours: 10 – 40 per week
