Our role as the nation's largest and most experienced Financial Management Service provider is to assist those eligible Medicaid recipients to choose and pay for their own support workers and services within their state-approved personalized budget. We are appointed by states and managed healthcare organizations to better serve more of their residents and members requiring long-term care and ensure the efficient use of taxpayer funded services.

We are seeking a high-impact Senior Facilities Manager to lead multi-site facilities operations for a healthcare FMS organization supporting Medicaid self-directed care programs. Our facilities include mission-critical contact centers and administrative offices that require operational reliability, cost discipline, and regulatory compliance.
This role is positioned one level below Vice President and is designed for a strong leader ready to scale into a VP-level role. The ideal candidate combines hands-on operational expertise with strategic financial thinking and a deep understanding of Total Cost of Ownership (TCO) in facilities management.
Duties & Responsibilities:Facilities Management & Compliance:
Lead day-to-day facilities operations across multiple sites, including contact centers.
Manage security across all facilities to include incident management, reporting, and security awareness of the staff.
Develop and manage operating and capital budgets with a focus on cost optimization and asset lifecycle management.
Oversee management and maintenance of all company facilities to ensure operational efficiency and compliance with regulatory standards.
Implement and audit HIPAA-compliant physical safeguards under 164.310, including facility access controls, workstation security, and device/media controls to protect ePHI.
Ensure facilities comply with ADA and Section 504 accessibility standards; conduct audits and implement remediation plans for architectural barriers.
Manage distributed real estate portfolio, enforcing facility standards across third-party partners and hybrid work environments.
Ensure contractual obligations are met regarding office presence in states where the company operates
Manage security for all company locations, including NYC, Latham, and Regis sites.
Oversee cleaning and maintenance operations at all company locations.
Lead buildouts or renovations of company locations as required.
Ensure appropriate supplies and resources are provided at all company locations.
Critical Infrastructure & Operations:
Manage data center and call center infrastructure, including UPS, backup generators, HVAC systems, and preventive maintenance programs to maintain 24/7 uptime.
Develop and maintain business continuity and disaster recovery (BC/DR) plans, including risk assessments, redundancy measures, and alternate site planning.
Strategic Initiatives & Sustainability:
Lead sustainability initiatives, including energy efficiency, waste reduction, and ESG reporting.
Collaborate with cross-functional teams to ensure facilities strategies support business objectives and regulatory requirements.
Prepare facilities-related materials for audits, regulatory examinations, and leadership reporting.
Vendor & Stakeholder Management:
Implement preventive maintenance programs and capital planning strategies based on TCO principles.
Oversee vendor management, cost containment strategies, contract negotiations, and service-level performance related to third party providers delivering facilities services.
Ensure compliance with healthcare, safety, ADA, OSHA, and regulatory standards.
Partner with IT and Operations to ensure uptime, business continuity, and business continuity readiness.
Build scalable processes, reporting, and performance metrics (cost per seat, cost per square foot, asset lifecycle).
Required Skills:Proficient in Microsoft Office Suite (Excel, Word, Outlook, PowerPoint).
In-depth knowledge of HIPAA Physical Safeguards, ADA/Section 504, and relevant building codes/regulations.
Strong analytical, problem-solving, and crisis management skills.
Excellent communication and negotiation skills for vendor management and stakeholder collaboration.
Strategic planning, financial budgeting, and risk assessment capabilities.
Ability to prioritize in a fast-paced, regulated environment with attention to detail.
Qualifications:Education:
Bachelor's degree in Facilities Management, Engineering, Business Administration, or related field.
Substantial professional experience in a related field may be considered in lieu of a formal degree.
Experience:
710+ years of progressive facilities management experience, including multi-site responsibility.
Experience supporting contact centers, healthcare operations, or regulated environments.
Strong financial acumen and demonstrated experience managing operating and capital budgets.
Expertise in Total Cost of Ownership (TCO), lifecycle planning, and cost-benefit analysis.
Proven vendor management and contract negotiation skills.
Strong leadership presence with the ability to influence senior stakeholders.
Working Conditions:Office environment with occasional travel to regional sites and third-party partner locations
Supervisory Responsibility:Supervision of facilities staff and contractors as needed.
$80,000-$105,000
