This role is responsible for the day-to-day management, scaling, and quality oversight of the biorepository, including specimen intake, inventory control, local and national transport coordination, clinic communication, team leadership, workflow development, and compliance execution.This is a key leadership role for someone who can operate both strategically and tactically. The ideal candidate understands laboratory operations, cryostorage workflows, chain-of-custody requirements, specimen handling, and team leadership in a fast-paced, high-accountability environment. This person will be expected to build systems, train staff, improve processes, and serve as a trusted operational partner to clinics, patients, and internal teams.Key Responsibilities Facility and Laboratory OperationsOversee daily operations of the San Mateo biorepository, ensuring safe, efficient, and compliant handling of all specimens.Manage laboratory workflows related to specimen intake, accessioning, verification, storage, release, return-to-clinic coordination, and disposition support.Ensure proper cryostorage practices, chain-of-custody controls, inventory accuracy, and documentation integrity across all operational activities.Maintain readiness of tanks, storage equipment, monitoring systems, supplies, and facility infrastructure to support current and projected specimen volume.Partner with leadership to scale the facility, including tank capacity planning, staffing plans, and operational workflow optimization as volume grows.Specimen Intake and Inventory ManagementLead intake operations for large specimen transfers from fertility clinics and other partner facilities, including bulk patient onboarding and specimen accession workflows.Ensure all incoming specimens are properly verified, documented, labeled, tracked, and stored according to CryoFuture protocols and clinic-specific requirements.Maintain accurate specimen inventory and location tracking within internal systems and physical storage environments.Conduct routine and scheduled inventory audits to confirm specimen accuracy, reconciliation, and compliance with internal controls.Identify and resolve inventory discrepancies, documentation gaps, or handling issues quickly and thoroughly.Clinic Operations and Client CoordinationServe as a key operational point of contact for clinics, patients, and internal partners for specimen storage, returns, transfers, and issue resolution.Communicate directly with clinic staff regarding specimen intake timelines, transport planning, storage workflows, audit support, and operational requirements.Work closely with Clinical Strategists and other internal teams to plan and execute bulk pickups, transfer projects, clinic launches, and return-to-clinic workflows.Help build clinic-specific SOPs, workflow maps, and handling protocols tailored to each partner’s operational model and needs.Support clients with professionalism, urgency, and clarity, helping ensure a smooth experience for both clinic teams and patients.Transportation and Logistics SupportOversee and support transportation logistics for local specimen pickups, local returns, and national transport coordination.Coordinate with internal transport teams and cross-functional stakeholders to ensure specimen movement is properly scheduled, documented, and executed.Help manage chain-of-custody requirements for transport operations, including release verification, packaging readiness, documentation accuracy, and handoff protocols.Support strategic planning around regional and national transport workflows to maintain service quality as volume scales.Quality, Compliance, and SOP DevelopmentEnsure all laboratory and biorepository operations are conducted in accordance with applicable SOPs, quality standards, and regulatory requirements.Develop, implement, maintain, and continuously improve SOPs, training documents, audit procedures, and quality control workflows.Lead internal quality checks and support compliance readiness related to specimen handling, storage practices, records, and operational controls.Monitor for nonconformances, process breakdowns, or compliance risks and implement corrective and preventive actions.Support disposition workflows to ensure specimen disposition is handled accurately, compliantly, and in accordance with internal policy, clinic requirements, and patient documentation.Team Leadership, Hiring, and TrainingManage, mentor, and develop Laboratory Operations Specialists.Hire, onboard, and train new team members to support facility growth and operational scale.Establish clear team expectations, workflows, accountability measures, and performance standards.Train staff on specimen handling, inventory control, chain-of-custody procedures, clinic-specific SOPs, quality systems, and client communication practices.Create a strong culture of ownership, precision, urgency, compliance, and continuous improvement within the facility team.Cross-Functional Collaboration and GrowthCollaborate with leadership, Clinical Strategists, Sales, Operations, Compliance, and Transport teams to support clinic growth and operational execution.Contribute to process design for new clinic partnerships, bulk transfer strategies, and facility expansion initiatives.Provide operational insight into staffing, tank utilization, process bottlenecks, training needs, and scaling priorities.Help refine infrastructure and systems needed to support increasing specimen volume, geographic growth, and service complexity.Required QualificationsBachelor’s degree in Biology, Biotechnology, Laboratory Science, Reproductive Science, or a related field. Advanced degree preferred.Minimum of 8 years of relevant experience in a biorepository, IVF laboratory, reproductive tissue bank, clinical laboratory, or similar regulated biological storage environment.Prior management or team leadership experience in laboratory or specimen operations.Strong understanding of cryostorage workflows, specimen handling, chain-of-custody procedures, and inventory control.Experience working with reproductive specimens, IVF clinic workflows, embryology operations, or related fertility industry processes strongly preferred.Demonstrated experience developing SOPs, training staff, managing audits, and improving operational systems.Strong organizational, problem-solving, and communication skills.Ability to manage multiple priorities in a fast-paced, high-detail, high-accountability environment.Comfortable working directly with clinic personnel, patients, and internal teams in a service-driven setting.Preferred QualificationsFamiliarity with regulatory and quality frameworks relevant to tissue handling, laboratory operations, and patient data privacy, including HIPAA, FDA, and applicable state/federal requirements.Experience with bulk specimen intake projects, clinic onboarding, reconciliation, and large-scale inventory transitions.IVF laboratory, embryology, or reproductive tissue banking experience strongly preferred.Core CompetenciesOperational leadershipInventory accuracy and audit disciplineTeam development and trainingSOP creation and process improvementClient and clinic communicationLogistics coordinationCompliance mindsetHigh attention to detailCalm execution under pressureScalability and systems thinkingPhysical RequirementsAbility to stand or sit for extended periods.Ability to lift and move tanks, canisters, supplies, and other laboratory materials within safe working limits.Ability to work in a laboratory and cryostorage environment, including handling liquid nitrogen and other potentially hazardous materials using proper safety procedures.Ability to travel occasionally for clinic visits, training, or operational support as needed.Compensation and BenefitsThe compensation range for this full-time position is $150,000.
