This position serves as the central point of coordination between construction management, field leadership, safety/code management, and office administration to ensure projects are staffed, organized, and executed efficiently.ResponsibilitiesCoordinate job staffing and crew lineups for projects using established employee rosters and direct communication with field personnelWork closely with the Construction Manager and Superintendents to staff projects based on trade needs and required skill setsEnsure crew sizes align with project estimates to support cost efficiency and labor planningReserve and manage lodging, airfare, and rental vehicles for field crewsSet up travel and lodging arrangements as early as possible (preferably at time of PO or job award)Distribute travel itineraries to crews promptly, including partial crews when applicable, and update details as neededMaintain all travel and lodging details in an organized electronic format accessible to the project teamMaintain an organized, electronic project board or “whiteboard” with checklists and task tracking for active projectsUpdate project tasks daily to reflect current status and completed itemsCoordinate with the Safety Manager and Code/Weld Manager when safety or compliance-related items are required, including drug testing, background checks, job-specific safety training, and weld testingCommunicate all testing, training, and certification details to crew members in a clear and timely mannerNote: Safety and Code Managers are responsible for setting up testing and training; the Administrative Coordinator is responsible for coordination and communicationWork in conjunction with office administration to support daily operationsPerform other duties as assigned by managementThis position reports directly to the Construction Manager and works collaboratively with superintendents, safety/code leadership, and office administration.RequirementsCandidate RequirementsStrong organizational skills with the ability to manage multiple projects and priorities simultaneouslyExcellent written and verbal communication skillsExperience coordinating travel, lodging, or workforce logistics preferredFamiliarity with construction, industrial, or field-based operations strongly preferredProficiency with Microsoft Office (Outlook, Word, Excel); experience with project tracking or task management platforms is a plusAbility to work independently while supporting fast-paced construction operationsStrong attention to detail and follow-throughHours may extend to nights and weekends as neededAbility to work with multiple departments and divisions within the SVI Bremco umbrella BenefitsCompensation & BenefitsCompetitive base salaryHealth, dental, and disability insurance401(k) with company matchPaid vacation and sick leaveCompany-provided laptop and phoneBonuses based on yearly profitability
