This position requires the candidate to be able to obtain a Public Trust.This position is covered under the Service Contract Act. This role is essential in ensuring smooth operational workflow and effective internal controls while maintaining the highest standards of professionalism and confidentiality.Essential Functions, Responsibilities & Duties may include, but are not limited to:Administrative Support:Coordinate and support the administrative workflow of the Service UnitMonitor incoming calls, prepare detailed summaries, and track leadership commitmentsEstablish and maintain organized record-keeping systems to support goals, objectives, policies, and assignmentsServe as a liaison between leadership and staff, facilitating effective communicationHuman Resources Support:Utilize automated HR systems to perform technical and administrative functionsAssist with employee onboarding processes and documentationSupport security clearance processes and employee verification proceduresMaintain accurate time and attendance records for staffAssist employees with payroll inquiries and leave-related issuesPrepare error notices and coordinate corrections as neededFinancial and Procurement Support:Assist with travel requisition preparation and processingPrepare and process purchase, service, and stock requisitions using IHS systemsMaintain accurate financial records and documentationSupport budget tracking and expense monitoring activitiesTraining and Development:Develop training materials for staff on payroll, timekeeping, and travel proceduresConduct training sessions as needed to ensure compliance and efficiencyCreate and maintain procedural documentation and guidelinesRequired Qualifications:Education & Experience:Minimum:High school diploma or equivalentExperience:2-3 years of administrative or office support experienceExperience in healthcare or government settings preferredTechnical Skills:Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)Experience with automated HR and payroll systemsFamiliarity with procurement and financial management systemsStrong data entry and record-keeping abilitiesCore Competencies:Excellent written and verbal communication skillsStrong organizational and time management abilitiesHigh attention to detail and accuracyAbility to handle confidential information with discretionProblem-solving and analytical thinking skillsCustomer service orientationAbility to work independently and manage multiple prioritiesCompliance Requirements:HIPAA compliance training and adherence requiredBackground check clearance mandatoryProfessional appearance and demeanor requiredComputer security protocols compliancePPE requirements as applicablePhysical Requirements:Ability to sit for extended periodsManual dexterity for computer and phone operationAbility to lift up to 25 pounds occasionallyClear verbal communication for phone interactionsWork Environment:Professional healthcare facility environmentFast-paced, multi-tasking work settingRegular interaction with leadership, staff, and external contactsAdherence to all IHS policies and proceduresApplication Process:Qualified candidates should submit:Complete resume highlighting relevant experienceCover letter detailing interest and qualificationsThree professional referencesCopies of relevant certifications or trainingSecurity Requirement:Ability to obtain a Public TrustOur Equal Employment Opportunity PolicyThe company is an equal opportunity employer.
