UMAF serves the University of Massachusetts Amherst community by serving as a best practices resource for fundraising strategy and implementation. About the roleThe University of Massachusetts Amherst Foundation (UMAF) is seeking a detail-oriented and highly organized Staff Accountant: Payroll & Accounting Operations to join our finance team. This role is responsible for managing payroll processing and supporting core accounting operations including accounts payable, bank reconciliations, balance sheet reconciliations, and journal entries.The ideal candidate will have strong experience in payroll administration, a solid foundation in accounting principles, and familiarity with accounting systems such as QuickBooks and Oracle NetSuite. This position plays an important role in ensuring financial accuracy, compliance, and timely processing of financial transactions.Location: This is a full-time hybrid position based in Hadley, MA. The position requires regular on-site presence. While there is flexibility in scheduling, employees should expect to be on site multiple days most weeks, depending on operational needs.ResponsibilitiesPayroll Administration (Applicants without at least 3 years of direct payroll processing responsibility will not be considered.)Process and administer biweekly payroll accurately and on scheduleMaintain payroll records and ensure compliance with applicable federal and state regulationsCoordinate payroll changes including new hires, terminations, and compensation updatesReconcile payroll accounts and ensure proper recording in the general ledger; perform periodic reconciliation of employee deductions. 401K, parking, giftsAddress payroll inquiries from employees and resolve discrepanciesRelated tax filings and reportingAccounts PayableProcess vendor invoices and ensure timely and accurate paymentsMaintain vendor records and ensure appropriate documentation and approvalsMonitor accounts payable aging and resolve discrepanciesPrepare 1099 forms for vendorsRequest and maintain W-9 forms and Liability Insurance documentation from vendors where applicableAccounting OperationsPrepare and post journal entries to the general ledgerPerform monthly bank reconciliationsPrepare and review balance sheet reconciliationsAssist with month-end and year-end close activitiesSupport travel and business expense system and corporate credit card users and help resolve issues as they ariseSupport internal and external audit requests as neededCash ManagementManage and monitor positive pay transactions and banking controlsAssist with monitoring daily cash activity and ensuring accuracy of banking recordsOther Duties as Assigned UMAF is building and growing, and this position will support those efforts with other duties and projects as assigned from time to time.QualificationsRequired Qualifications:Bachelor’s degree in accounting or financeMust have 3–5+ years of payroll processing experienceStrong understanding of accounting principles and financial processesExperience with QuickBooks and/or Oracle NetSuiteExperience with accounts payable, bank reconciliations, and journal entriesStrong attention to detail and ability to manage multiple prioritiesProficiency in Microsoft Excel (pivot tables, VLOOKUP/XLOOKUP) Excellent organizational and communication skillsAbility to work independently in a hybrid environmentPreferred Qualifications:Experience in higher education or nonprofit accountingFamiliarity with payroll compliance and multi-state payroll processingExperience supporting month-end close processesNote: We’re passionate about building a diverse team.
